Position: OFFICE ASSISTANT

OFFICE ASSISTANT at Yates Industries, Inc.

Yates Industries is looking for an Office Assistant in our Decatur, AL plant!

Duties and Responsibilities:

  • Answer incoming phone calls and respond appropriately by forwarding calls, taking messages, etc.
  • Assist customers, vendors, applicants, or any other visitors in lobby.
  • Responsible for general office duties including various typing, letter creating, processing mail, filing, and switchboard coverage to direct calls and receive messages.
  • Provide customer assistance for general questions on orders, shipping information, and copies of documents.
  • Scan all invoiced/closed orders with prints; place all scanned closed orders into shred bin OR file in closed order file cabinets, whichever applies.
  • Manage uniform invoices and employee uniform records.
  • Assist with pricing research for miscellaneous items.
  • Check and verify shop floor packaging/boxes throughout the day.
  • Scan stock runs, sales orders, and shop documents.
  • Shred scanned documents.
  • Maintain SDS sheets in compliance with OSHA requirement.
  • Enter Job Routing utilizing standard templates and Work Center Sheets. Attach applicable routing to drawings. (See RTWI-23-03)
  • Coordinate (schedule) movement of shop floor packets.
  • Other duties as assigned

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Math Ability:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer

Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Word, Microsoft Excel, Made2

Manage, Internet Explorer, and Microsoft Outlook.

Education/

Experience:

High school diploma or general education degree (GED); or two to four years related experience and/or training; or equivalent combination of education and experience.

Knowledge, Skills and Other Abilities:

  • Ability to work independently or with a team
  • Scheduling, production, machining background a plus

While performing the duties of this job, the employee is required to wear safety glasses and hard sole/close toed shoes with a low heel when walking through the manufacturing shop and/or repair shop whether as part of performing their job or just passing through. In addition, long hair must be tied back when around hazards of flame, machinery, or equipment.
