Are you an organized, motivated professional who enjoys keeping projects on track and supporting a dynamic team? We’re looking for an Administrative & Sales Coordinator who can balance administrative precision with customer-focused support. In this role, you’ll be at the heart of our operations—helping move projects from initial permits and proposals through to completion, while also supporting leadership and ensuring our clients receive exceptional service.
Position Overview
This position provides essential support to both the sales and permitting departments, while also assisting company leadership with day-to-day operations. The ideal candidate is proactive, adaptable, and thrives in a fast-paced environment where multitasking and attention to detail are key.
Key Responsibilities
Sales Department & House Accounts
· Provide administrative support to the sales team and house accounts
· Input new projects into the CRM system with accuracy and completeness
· Request estimates, prepare proposals, and send them to clients
· Follow up with clients to ensure timely responses and help close sales
· Prepare, update, and maintain vendor packs for customers
Permit Department Support
· Assist with permit running and submission processes
· Upload and organize digital documentation
· File and maintain hard copy permit records
· Track permit expiration dates and issue timely reminders
· Update city licenses and Certificates of Insurance (COIs)
· Prepare and manage shipping labels for projects
Executive & Team Support
· Provide direct administrative assistance to the President of the company
· Support with scheduling, communication, and coordination between clients and staff
· Assist with daily operational tasks and special projects as needed
Education and Experience Requirements
Minimum High School Diploma or equivalent required
2+ years’ experience preferred but not required
Knowledge of the Construction Industry preferred
Effective time management in meeting deadlines
Strong organizational and management skills, ability to prioritize and take initiative
Must be a detail-oriented team player comfortable working in a fast-paced environment with heavy volume workload
Advanced PC skills Microsoft Word and Excel
Excellent follow-up, communication (written and verbal) and time management skills
Able to professionally perform multiple detail-oriented tasks with simultaneous deadlines
Customer service experience
