About the Role

Waste Solution Services (WSS) is seeking a highly organized, proactive Executive Business Partner to work directly with the Managing Partner and support daily business operations.

This role combines executive support, business coordination, project management, vendor oversight, and process improvement. The ideal candidate is resourceful, detail-oriented, and comfortable taking ownership of assignments from start to finish. You should be able to anticipate needs, manage competing priorities, and turn high-level direction into completed work with minimal supervision.

This is an opportunity to work closely with senior leadership, gain broad exposure to business operations, and grow into greater responsibility as the organization expands.

Key Responsibilities
Executive Support & Communication
  • Manage the Managing Partner’s calendar, coordinate meetings, resolve scheduling conflicts, and organize travel as needed.
  • Review incoming emails and requests, handle routine matters independently, and flag items requiring executive attention.
  • Prepare meeting materials, document decisions, and ensure action items receive timely follow-up.
  • Draft professional emails, memos, internal communications, and other business documents.
Business Operations & Project Management
  • Track projects, deadlines, approvals, and outstanding tasks across the business.
  • Follow up with employees, vendors, and business partners to ensure commitments are completed on time.
  • Identify delays, resolve routine issues, and provide concise updates on progress and next steps.
  • Take ownership of assignments from initial request through final completion without requiring constant oversight.
  • Research vendors, request quotes, compare proposals, and summarize pricing and service options.
  • Coordinate vendor schedules, monitor deliverables, and follow up on incomplete work.
  • Collect invoices and expense documentation and route items for review and approval.
  • Coordinate with accountants, attorneys, and other professional service providers on scheduling, documentation, and outstanding requests.
Office Operations & Special Projects
  • Coordinate office supplies, equipment, maintenance, deliveries, and employee onboarding logistics.
  • Assist with technology setup, access requests, and basic troubleshooting in coordination with IT.
  • Conduct research, prepare summaries, and support special projects through planning, coordination, and follow-through.
  • Build trackers, checklists, and workflows that improve organization and efficiency.
  • Use AI tools and automation to streamline recurring tasks and improve productivity while verifying results.
Qualifications
  • Approximately 2–5 years of experience in executive assistance, business operations, project coordination, or a similar role supporting senior leadership.
  • Exceptional organizational skills and the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • A proactive, solutions-oriented mindset with sound judgment and attention to detail.
  • Ability to work independently, maintain confidentiality, and communicate effectively with senior leadership.
  • Comfort with Google Workspace, email and calendar tools, spreadsheets, Docu Sign, Slack, and project management platforms.
  • Experience with AI tools or workflow automation is a plus.
  • Bachelor’s degree or equivalent practical experience.
  • Must be able to work in person in Deerfield Beach, FL, with reliable transportation and occasional flexibility for time-sensitive matters.
  • Hebrew language skills are a plus.
  • Base salary of $65,000–$90,000, depending on experience.
  • Discretionary annual bonus.
  • Health benefits and paid time off.
  • Opportunity for professional development and increased responsibility.
