JOB SUMMARY:
Under the general supervision of the Superintendent, performs a variety of clerical duties requiring specialized knowledge of departmental operations. Performs other related duties as required.
The following duties are not intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.
- Performs general clerical duties in support of the division.
- Answers telephone, receives customer work orders and inquiries;
Provides exceptional customer service. - Types and proofreads a wide variety of reports, letters, memorandums, and general correspondence.
- Performs other related work as required.
- Performs clerical functions requiring considerable discretion and specialized knowledge.
- Must always be courteous and be responsible for receiving all inbound calls and forwarding those calls as necessary.
- Provides assistance to the division; performs all support functions for the staff.
- Types and mails correspondence; assists with the preventive maintenance program as needed; assists with purchase orders and quotes; stamps and signs records daily as required.
- Assists the public with questions of policies and procedures, both in person and by telephone.
- Prepares reports, forms, charts, statements, and departmental memos.
- Screens telephone calls, takes messages, searches files, assembles information, compiles statistics, and maintains statistical records.
- Responsible for arranging, indexing, and filing of cards, letters, and documents.
- Will be required to handle dispatch procedures for the department.
- Proofreads and posts a variety of information from standardized media to various types of records.
- Maintains department personnel files and completes necessary paperwork for any changes regarding departmental personnel status.
- Performs other related work as required.
Education and Experience:
- High School diploma or GED required.
- Minimum three (3) years of related clerical experience required.
- Ability to communicate and understand the Spanish language is a plus.
- Valid Texas Driver’s License Class C required.
- Able to pass a criminal background check required.
Knowledge, Skills, and Abilities:
- Skilled in the use of personal computers, general office equipment, and 10-key calculators.
- Skilled in Microsoft Office programs; knowledge of computer operations, including spreadsheet formulation.
- Ability to interpret oral and written instructions and refer deviations, problems, or unfamiliar situations to supervisor for proper decisions and guidance.
- Ability to write reports, memos, schedules, and general correspondence.
- Skilled in oral and written communication.
- Skilled in courteously and effectively working with the public.
- Ability to manage daily workloads and meet deadlines in order to maintain efficiency within the department.
- Skilled in safety regulations, work practices, and procedures.
- Ability to work independently in the absence of specific instructions.
- Ability to establish and maintain effective working relationships with supervisors, co-workers, other departments, and the general public.
- Ability to speak and understand Spanish preferred but not required.
