We are looking for a highly organised, proactive and trusted Board Advisor (in Dutch a ‘Secretaris’ or ‘Bestuursadviseur’) with also operational and administrative strengths. In this role, you will serve as the central coordination point between the Board‑, the Management Team, the Supervisory Board, and the wider organisation. You ensure that decision‑making processes run smoothly, information flows efficiently and follow‑up actions are executed with precision.
This is a senior operational role at the heart of the organisation, ideal for someone who thrives in a dynamic environment, enjoys bringing structure and takes pride in enabling leadership to operate at their best.
As our Board Advisor (in Dutch a ‘Secretaris’ or ‘Bestuursadviseur’) you combine strong organisational skills with sound judgement, discretion and a hands‑on mindset. You are the multi-talented “spider in the web” who ensures that governance and leadership processes run seamlessly, that the Board and Management Team are well supported, and that decisions, actions and information are coordinated effectively across the organisation.
You prepare and manage all Board and Management Team meetings, including agendas, documentation, minutes and action tracking. You maintain oversight of governance calendars, ensure compliance with statutory and internal requirements and act as a trusted partner to the Management Team.
Beyond governance, this role focuses on supporting and advising the (Supervisory) Board and Management Team. You bring structure to leadership workflows, coordinate priorities and streamline communication so that questions, decisions and actions move efficiently through the organisation. You enjoy being close to the content while maintaining a strong operational foundation. This role does not include line management responsibility for the organisation’s administrative staff.
- Ensuring smooth workflows, clear prioritisation, and alignment across activities in the QDNL organisation
- Serve as Board Advisor (in Dutch a ‘Secretaris’ or ‘Bestuursadviseur’) to the (Supervisory) Board and Management Team, including preparing agendas, documentation, minutes and action lists
- Coordinate governance and leadership processes, annual calendars and compliance requirements
- Ensure timely follow‑up on decisions, actions and requests from the Board and Management Team
- Act as the central coordination point for leadership communication, information flow and decision‑making
- Provide high‑quality organisational, administrative and logistical support to the Board/ Management Team
- Safeguard correct documentation standards, governance procedures and internal consistency
- Build strong working relationships across the organisation
- Identify, advise on and solve bottlenecks early and proactively bring clarity, structure and solutions
For this role, we are looking for candidates who bring most of the following:
- Significant experience in a senior administrative, governance, executive support or coordination role
- Experience supporting a Board, Management Team or other senior leadership bodies
- Strong organisational skills and the ability to bring structure to complex, fast‑moving environments
- Excellent communication skills in English and Dutch, both written as well as verbally
