HVAC Estimator

Primary Job Function:
Prepare plans, specs and design‑build style estimates for mechanical systems. Assess needs, develop and present HVAC replacement/upgrade proposals, secure competitive and profitable sales, process orders and collaborate with teammates to ensure customer satisfaction. The role works with new and existing customers to guide them through the sales process while exploring equipment and layout options.

• Prepare cost estimates for HVAC systems, including duct work, piping systems and equipment for commercial and residential projects.
• Account for labor, material, equipment, subcontractors and other direct costs within estimates.
• Review plans and specifications to determine the scope of work.
• Take‑off material and provide accurate quantity surveys using estimating software.
• Coordinate with subcontractors and suppliers to ensure accurate and competitive pricing.
• Submit proposals to customers, finalize pricing and complete internal setups promptly.
• Provide positive input on the efficiency and accuracy of all estimating programs and strategies.
• Manage and maintain company resources efficiently.
• Ensure accurate job take‑offs and estimates.
• Follow up promptly with all bids and contractors.
• Produce final bid results on all jobs, whether rewarded or not.
• Develop and implement sales strategy for key accounts.
• Produce timely and accurate updates for bids, billings and project status.
• Assist in developing bidding strategies using the estimating system.
• Communicate with the construction project manager/general contractor regarding all required information from start to finish.
• Recognize opportunities for value engineering and other strategies that improve competitiveness.
• Maintain confidentiality of bidding strategies.
• Determine if a bid invitation aligns with the company’s capabilities and demands.
• Coordinate tasks/schedules with the general contractor, other trades, subcontractors and vendors.
• Communicate long‑lead‑time items that could delay any job.
• Create and submit submittal packages.
• Maintain job folders, files and cut‑sheets as projects progress.
• Purchase material and equipment on approved jobs in a timely manner.
• Gauge construction timelines accurately to ensure correct labor cost.
• Other tasks as assigned.
