Job Summary

The duties of the HR Compliance Coordinator include facilitating compliance of the I‑9 process, procedures, and documentation. Following up with new hires, verification, and expiration dates is mandated. This role works closely with HR, Safety, and Operations, maintaining compliance with labor laws, food industry workforce standards, and company policies while supporting audits, documentation, and training initiatives.

Key Responsibilities
  • Coordinate logistics of hiring days, recruitment compliance, onboarding, and off‑boarding processes.
  • Assist the VP of Human Resources and managers with the hiring process, including submitting I‑9 documents.
  • Process I‑9 employment verification by gathering necessary documentation, inputting identification information into the E‑Verify system, and troubleshooting errors to ensure timely compliance.
  • Validate new‑hire identification to confirm eligibility for employment.
  • Set up and maintain employee files, I‑9 verification, and HRIS records for external audits.
  • Monitor employee compliance by tracking document expiration dates, processing notification letters, and taking action when employment eligibility issues arise.
  • Support HR investigations into employee complaints, policy violations, or compliance issues.
  • Track Employment Authorization cards and process new cards by updating Excel files.
  • Coordinate with hiring managers and supervisors for employee authorization once cleared from E‑Verify.
  • Work alongside the Payroll Clerk to correct Data Track entries for locations needing support.
  • Enter Direct Deposits, W‑4s, Terminations, and other transactions in the HRIS system.
  • Process Crew Leader payroll weekly for multiple states.
  • Maintain PTO database for days and hours owed in the HRIS system.
  • Print badges as needed for plant locations.
  • Provide general administrative support, including maintaining employee databases, filing, scheduling, reporting, and coordinating HR department functions.
  • Coordinate compliance‑related training for managers and employees (harassment prevention, workplace safety, food facility security).
  • Serve as the liaison to the Chief Human Resources Officer, the VP of HR, and the payroll department.
  • Monitor and ensure compliance with federal, state, and local employment laws (EEO, FMLA, ADA, FLSA, OSHA, etc.).
  • Prepare and maintain required compliance documentation for internal and external audits (USDA, FDA, OSHA).
  • Stay current on legislation affecting the food industry workforce, including wage and hour laws, safety regulations, and food plan security requirements.
  • Assist in creating HR metrics and evaluation reports.
  • Perform other related duties as directed by the Executive Director of Food Safety and Compliance.
Knowledge & Skill Requirements
  • 2+ years of HR experience, preferably in food manufacturing or food service.
  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field.
  • Bilingual required (Spanish and/or Creole).
  • Strong attention to detail, organization, and documentation skills.
  • Ability to multi‑task in a fast‑paced environment.
  • Proficiency in Microsoft Excel spreadsheets, charts, and graphs for reporting.
  • Ability to exercise good judgment and ethical standards in a variety of situations.
