SUMMARYReports to the Director of Learning Services-Curriculum, Instruction, Assessment and/or the District Principal of Delta Community College, and may work under the direction of the Academic Advisors. Provides a wide variety of administrative and clerical services to support activities within the department.
DUTIESRegisters students for Continuing Education’s Adult Foundation and High School Completion courses (Delta Access and Delta Community College) and produces class lists; tracks and provides student enrolment information to Principal and Academic Advisors; and, schedules students for English and math assessments and appointments for graduation plans.
Collects payments for assessments, courses, textbooks, graduation fees, etc., including cash, cheques, debit, and credit cards, issues receipts, and verifies and reconciles transactions; prepares money sheet and forwards to the Executive Assistant for processing. Follows up with students on declined payments.
Creates and maintains student files and records: collects, copies, and scans proof of Canadian status and BC residency identification requirements, in accordance with the BC Ministry of Education and Delta School District guidelines; purges files per department procedure; and, integrates previous year’s files at the beginning and end of the school year. Frequently contacts prospective, current, and past students via phone, e-mail to provide upcoming course information.
Collects and reviews course withdrawals and transfers requested by teachers and students and forwards to the Executive Assistant for processing; communicates student enrolment, attendance, withdrawals, and transfers to teachers.
Reviews and processes Delta Access High School Completion course approvals as requested by the Delta Access Principal; obtains clarification and approval for courses pending approval by DCC Academic Advisors.
Compiles, organizes, and prepares student files for Academic Advisors to assess student graduation eligibility; confirms eligibility with students and encourages student attendance at graduation; and, collects student biographies.
Performs a variety of administrative duties, including word processing, e‑mailing, proofreading, filing, and photocopying; distributes a wide variety of documents and correspondence, which may include application forms, certificates, transcripts, contracts, curriculum materials, and general information.
