Quality Coordinator
The Quality Coordinator is the administrative and operational backbone of the quality department, ensuring documentation rigor, daily compliance, audit support, training, and CAPA follow-up.
Essential Responsibilities of the Quality Coordinator- Administer, update, and harmonize SOPs, forms, work instructions, and records.
- Ensure documentation complies with standards (HACCP, SQF, FSSC, CFIA, Organic, SMETA, clients).
- Manage the document lifecycle: creation, revision, approval, distribution, archiving.
- Maintain an always audit-ready document system.
- Prepare files, evidence, records, and action plans.
- Coordinate audit logistics (internal, client, third-party).
- Follow up on non-conformities and corrective actions.
- Contribute to drafting official responses to auditors.
- Perform or coordinate SOP, LOG, Policy/CCP verifications, hygiene, allergen, sanitation, and traceability inspections.
- Document deviations and ensure corrective follow-up.
- Monitor daily operational compliance (release, labeling, packaging, critical parameters).
- Compile quality data (NCs, complaints, rejects, trends).
- Prepare weekly/monthly reports for management.
- Identify trends and recommend preventive actions.
- Participate in internal NC investigations, incidents, or client complaints.
- Contribute to root cause analyses (5-Why, Ishikawa).
- Ensure CAPA follow-up until full closure.
- Train employees on procedures, best practices, SOP, LOG, Policy/CCP, hygiene, allergens.
- Maintain training records.
- Communicate procedure changes and quality requirements to teams.
- Work closely with production, maintenance, sanitation, R&D, and logistics.
- Support supervisors and operators in applying quality standards.
- Participate in daily meetings (tier meetings, SQCDP, etc.).
- Contribute to quality and operational process improvements.
- Participate in optimization projects (loss reduction, standardization, digitalization).
- Propose documentation or procedural improvements.
