Client Care Associate (Full Time)Cape Cod Veterinary Specialists is seeking an experienced, full‑time Client Care Associate to join the team in our Dennis, MA, location.
About This RoleThe Client Care Associate is the first and last impression of Cape Cod Veterinary Specialists, which impacts the client’s overall experience. The CCA is an invaluable team member that communicates with the clients, works with the medical staff to facilitate emergency and specialty appointments, provides information to the referring veterinary community, and handles financial transactions. This position is client‑focused and does not involve direct interactions with pets.
ResponsibilitiesAnd Functions
- Greet and check in clients for emergency and specialty appointments in a polite, professional, and timely manner.
- Schedule and confirm appointments
- Perform record keeping, such as scanning and documentation in the electronic medical records (EMR)
- Provide estimates and invoices for payment
- Take deposits and process payments at checkout
- Send medical records to referring veterinarians
- Direct client calls to the appropriate department in a polite, professional, and timely manner.
- Maintain a clean lobby and front desk area.
- Respond to clients with compassion and empathy in stressful and emotional situations.
- More than one year experience in the veterinary hospital as a technician, liaison, or CCA
- This position may be open to the right person who expresses a genuine desire and is eager to learn
- Sufficient computer experience (Word, Excel) and the ability to learn various veterinary software programs
- Ample experience and knowledge of various equipment, including fax and copy machines, credit card and check terminals, and postage meters
- Basic math skills to determine proper deposits and process payments
- Ability to balance and prioritize multiple tasks appropriately
- Confidence in themselves, in their abilities, and their team
- Excellent clear communication skills
- Must be professional, pleasant, and engaged
- Must be attentive and demonstrate a high level of respect to referring veterinarians, clients, and co‑workers
- The salary range for this position is $18 to $23 per hour, based on experience, credentials, and shifts.
- Schedules swings, evenings, weekends, and a holiday shift rotation.
- The initial schedule may require time in both the Dennis and the Buzzards Bay locations.
