We're hiring an Operations & Office Manager to own the business machinery that keeps Kulu running: finance operations, company admin, commercial hygiene, people ops, and our Bali office. This is a hands‑on, high‑ownership role: we are not looking for a coordinator who routes tasks to other people. We want someone who takes full ownership of a wide surface area, keeps every plate spinning without being chased, notices what's about to go wrong before it does, and treats "nothing lapses silently" as a personal standard.
Kulu is a small team moving fast. That means the person in this role has real responsibility from day one: you'll run entire functions yourself, not support someone else who runs them. If a filing is late, an invoice goes unchased, or a contract quietly expires, that's the job not being done, regardless of activity underneath it.
About KuluKulu builds screen‑aware AI voice and chat agents that onboard users for enterprise SaaS companies. We're a high‑performance, high‑bandwidth communication team. We run live daily standups, Slack constantly, and jump into huddles rather than letting long async threads develop. Product, engineering and commercial conversations overlap heavily. This suits people who enjoy working closely with highly engaged colleagues, talking through problems in real time, and moving quickly as new information emerges.
We are deliberately building an in‑person culture in Bali, and this role sits at the centre of it. You'll run the office day to day and take real responsibility for making it a place where exceptional people want to work.
TasksWhat you’ll own
You will be the single point of ownership for Kulu's operational backbone. "Own" means own: you run it end to end, you're accountable for the outcome, and nothing in your area falls through the cracks.
- Finance operations: Run Deel day to day: monitor all contractors and reconcile Deel invoices against bank debits each month, flagging duplicates and anomalies. Monitor Xero to make sure UK payroll goes out correctly every month. Own the filings calendar (VAT, PAYE payments, corporation tax, Companies House) so nothing is ever missed. Own the Novabook relationship: chase receipts from the team and answer their classification queries.
Run accounts receivable: invoice customers, track what's due, chase late payments. Track vendor and subscription spend and keep it in reasonable shape. - Monthly financial report: Prepare the monthly financial report yourself, including keeping the burn model updated against actuals so it always ties to runway. Pull the numbers and appendix for the monthly investor update.
- Company administration: Keep Notion organised and Google Drive properly structured, with all contracts stored where they should be. Manage the contract signing process end to end (routing, tracking, filing, not signing yourself). Handle one‑off legal, property, and compliance admin as it arises.
- Commercial operations: Maintain the overview of all pilot timelines, contract end dates, and renewal moments so nothing lapses silently. Keep the CRM honest: deal stages, contacts, and next steps always current.
- People operations: Run onboarding and offboarding for joiners and leavers:
Deel setup, equipment, and tool access provisioning and revocation. - The Bali office: Run our Bali office day to day and help build the in‑person, high‑performance culture we're deliberately creating here.
- Continuous improvement: Running these areas is the baseline, not the job. You are also responsible for constantly asking "how could this be done better, faster, or with less effort?" and acting on the answer. We are certain there are processes that could be automated, simplified, or removed entirely that none of us have spotted yet. Finding them is part of the role, and we would rather you propose ten improvements and have two rejected than quietly keep running things the way you found them.
