Location: Kuta
Our client is an independent 5‑star luxury boutique resort located in the heart of Seminyak. They are seeking a highly organised and professional Executive Secretary to provide comprehensive administrative support to the General Manager at the Executive Office, ensure efficient coordination of daily administration and facilitate effective communication across departments.
Requirements- Proven experience as an Executive Secretary, Executive Assistant, or in a similar administrative role within a 5‑star luxury hotel or resort.
- Diploma or a Bachelor's degree in Hospitality Management, Business Administration, or a related field is preferred.
- Solid experience supporting senior executives, preferably a General Manager or Executive Committee, with good referrals.
- Strong organisational and time management skills, with the ability to manage multiple priorities in a fast‑paced environment.
- Excellent written and verbal communication skills in English.
- High level of professionalism, discretion, and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative systems.
- Strong attention to detail with excellent documentation and record‑keeping skills.
- Ability to coordinate meetings, prepare reports, manage calendars, and arrange travel and logistics.
- Strong interpersonal skills with the ability to communicate effectively across all levels of the organisation.
- Provide comprehensive administrative and secretarial support to the General Manager and Executive Office.
- Manage calendars, appointments, meetings, and travel arrangements while ensuring efficient scheduling and coordination.
- Prepare meeting agendas, presentations, reports, correspondence, and meeting minutes with accuracy and professionalism.
- Coordinate communication between the Executive Office and internal departments, owners, corporate offices, and external stakeholders.
- Maintain confidential records, documents, contracts, and correspondence in an organized and secure manner.
- Monitor and follow up on action items from executive meetings to ensure timely completion.
- Assist in preparing reports, budgets, business presentations, and operational documentation as required.
- Organise executive meetings, special events, and VIP visits, ensuring all logistics are handled efficiently.
- Handle incoming communications, prioritise requests, and respond professionally on behalf of the Executive Office when appropriate.
- Support the Executive Office in maintaining smooth day‑to‑day administrative operations while upholding the highest standards of professionalism and confidentiality.
