HPS Administrative Coordinator

Join the University of North Texas as an Administrative Coordinator in the College of Health and Public Service (HPS). The role provides executive, administrative, and analytical support to the Dean’s Office staff, coordinates activities, and acts as the college’s university‑wide liaison.

Position Overview

The HPS Administrative Coordinator is responsible for providing executive, administrative, and analytical support to the Dean's Office staff. They coordinate activities and act as the college’s university-wide liaison, identify issues or problems, and research solutions within specific management areas.

Minimum Qualifications

Bachelor’s degree and two years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.

  • Knowledge of accounting/budgeting procedures.
  • Ability to work under pressure, adjust to constant changes, handle multiple tasks, and coordinate the work of others.
  • Ability to keep complex records, assemble and organize data of complex nature, and prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned function.
Preferred Qualifications
  • Event coordination experience, from faculty meetings to large‑scale college gatherings.
  • Ability to anticipate needs and proactively solve issues.
  • Experience providing high‑level administrative support within a dean’s office or similar executive environment in higher education.
  • Demonstrated skill in coordinating complex projects, managing shifting priorities, and keeping leadership informed and prepared.
  • Strong writing and editing abilities, with experience drafting professional communications, reports, and presentations.
  • Comfort working in fast‑paced academic environments where deadlines and priorities may shift without warning.
Job Duties
  • Provides support to the Dean’s Office staff and acts as a resource to assist in the resolution of various administrative matters.
  • Responsible for purchasing for the dean’s office, IT and advising and travel and reimbursements for the dean’s office.
  • Assists with or may be responsible for various special projects in support of the college.
  • Responsible for the collection of data and its analysis, the preparation of materials for meetings and events, and assists with the completion of reports.
  • Handles correspondence and calendar maintenance.
  • Responsible for a variety of logistics including room scheduling, planning special events (such as board meetings and the dean’s convocation), and the timely delivery of materials to stakeholders.
  • Anticipates leadership needs, identifies potential issues early, and responds with practical solutions.
  • Keeps track of important college deadlines (promotion and tenure, catalog updates, etc.) and ensures required items are turned in by chairs so that they are received by the VPAA/President by the due date.
Physical Requirements
  • Communicating with others to exchange information.
  • Lifting and moving objects up to 20 pounds.
  • Sedentary work that primarily involves sitting/standing.
  • Repeating motions that may include the wrists, hands and/or fingers.
Environmental Hazards
  • No adverse environmental conditions expected.
Work Schedule

Monday‑Friday, 8 a.m. to 5 p.m.
