Overview:
We are seeking a detail-oriented Service Billing Specialist to manage daily and monthly customer service billing functions. This role requires strong teamwork and collaboration with the Operations Manager, Area Technical Managers, and other staff members. The ideal candidate will have excellent time management, attention to detail, and organizational skills to handle a high volume of work efficiently. Success in this position contributes directly to the profitability of the company.
Daily Customer Billing Functions:
- Review employee job tickets for accuracy, including time, date, work order details, work descriptions, and inventory transactions
- Verify and update completed work orders, obtaining additional information as needed
- Process equipment rental and subcontractor invoices
- Apply pricing and warranty programs to invoices
- Validate customer Not-To-Exceed (NTE) limits and quotes, obtaining approvals when needed
- Generate and process Accounts Receivable invoices, ensuring accurate product codes, trip charges, and labor allocations per customer contracts
- Assign appropriate travel labor costs to work orders
- Ensure compliance with sales tax regulations by jurisdiction and product type
- Verify invoice accuracy between Sage software and the customer portal
- Analyze profitability reports, explaining any variances and obtaining justifications for discrepancies outside of guidelines
Monthly Billing Functions:
- Assist in resolving subcontractor billing issues, working closely with operations and accounting to ensure invoice accuracy per contract terms
- Balance, input, invoice, and verify work orders across Sage and customer portals/websites
Payroll and Job Costing Verification:
- Validate employee time reporting and job costing accuracy for applicable work orders
Qualifications & Skills:
- 2-5 years of invoicing experience, construction or service industry experience is a plus
- Understanding of customer contract terms and conditions
- Basic knowledge of sales tax application
- Proficiency in Microsoft Excel
- Cost accounting experience is a plus
- Time & Materials (T&M) invoicing experience is a large plus
