Key Responsibilities

Invoice Processing & Coding

  • Route invoices through approval workflows and monitor outstanding items to support timely processing.
  • Identify and resolve coding errors, duplicate invoices, discrepancies, and missing documentation.
  • Maintain accurate invoice records to support reporting, reconciliations, and audits.

Accounts Payable Support

  • Coordinate with internal departments, project teams, procurement personnel, and vendors to resolve invoice questions and obtain missing information.
  • Research vendor discrepancies and assist with statement reconciliations and outstanding invoice inquiries.
  • Support vendor record maintenance, month-end close activities, and accounts payable reporting.
  • Follow established accounting procedures, internal controls, and documentation requirements.

Procurement & Administrative Support

  • Assist with creating, reviewing, and processing procurement requisitions as needed.
  • Coordinate with internal requestors and procurement personnel to resolve requisition questions and ensure required information is complete.
  • Provide additional administrative support, including data entry, document management, record maintenance, and special projects.
  • Adapt to changing priorities and assist the accounting and project teams as business needs evolve.

Qualifications

  • Strong attention to detail and the ability to research discrepancies and maintain accurate records.
  • Proficiency in Microsoft Excel and Microsoft Office applications.
  • Strong organizational, communication, and time management skills.
  • Ability to manage multiple priorities, meet deadlines, and work both independently and collaboratively.

Preferred Qualifications

  • Experience in the oil and gas, midstream, energy infrastructure, or construction industries.
  • Familiarity with project-related invoice coding, including project codes, cost allocations, and authorizations for expenditure (AFEs).
  • Experience with ERP or accounts payable systems, such as Oracle.
  • Knowledge of two-way and three-way invoice matching, vendor reconciliations, and internal accounting controls.
  • Experience preparing or processing procurement requisitions.
