About
The Role
The hub of the Growth team’s wheels. Master of process. Champion of problem‑solving. We’re looking for the operational engine behind our growth ambitions—a strategic orchestrator who turns business opportunities into executed reality. You’ll be the connective tissue between business strategy and execution, managing the machinery that drives new business development, client expansion, and market intelligence.
This isn’t a typical coordinator role. You’ll work in the ‘white space’ where structure doesn’t yet exist, building processes and systems that scale our growth efforts. You thrive on complexity, anticipate needs before they’re articulated, and find actionable solutions to messy business problems.
Responsibilities
• Strategic Operations & Delivery (50%)
- Orchestrate concurrent growth initiatives across new business development, RFP responses, and client expansion projects, managing 8-12 active work streams simultaneously with precision.
- Own the pipeline machinery:
Maintain real‑time visibility into all opportunities through trackers, hot sheets, and project plans that the leadership team relies on daily.
- Drive proposal development from kickoff through submission, synthesizing research, developing intel briefs, coordinating contributors, crafting initial responses that require minimal revisions, ensuring every deadline hits.
- Lead weekly cadence meetings with internal team and cross‑functional partners, producing clear action items and conference reports that move projects forward.
- Manage the critical path:
Track dependencies, flag risks early, and course‑correct when priorities shift or curveballs land.
• Growth Intelligence & Strategy Support (25%)
- Fuel decision‑making with insights:
Conduct market analysis, competitive intelligence gathering, and opportunity assessments that inform go‑to‑market strategy.
- Build the intel library:
Create briefing documents, trend reports, and case studies that arm the team with the ammunition they need for pitches and client conversations.
- Tell stories with data:
Develop dashboards and performance reports that track pipeline health, win rates, and project outcomes.
- Support strategic planning cycles:
Contribute research, analysis, and recommendations for quarterly growth initiatives and annual planning.
• Process Architecture & Enablement (15%)
- Design systems that scale:
Identify bottlenecks and implement process improvements that make the team faster and more efficient.
- Be the keeper of institutional knowledge:
Own the centralized repository of RFP templates, pitch decks, case studies, messaging frameworks, and visual assets in SharePoint/One Drive.
- Create leverage:
Build reusable tools, templates, and playbooks that turn one‑off wins into repeatable capabilities.
- Champion best practices:
Document lessons learned and ensure knowledge transfers across projects.
• Stakeholder Collaboration & Communication (10%)
- Interface with Founder and Senior Leadership:
Present project updates, business cases, and strategic recommendations with confidence and clarity.
- Partner with Marketing Manager:
Align on lead generation campaigns, contact strategies, and content needs that support pipeline development.
- Hold the line:
Use your empowered voice to keep stakeholders accountable to timelines, commitments, and quality standards.
- Represent the team externally:
Participate in client‑facing meetings, pitches, and conferences as needed, bringing operational expertise and professional presence.
Required Experience & Skills
• 3‑5 years in account management or business operations within advertising, marketing, creative agencies, or production companies.
• Proven track record managing complex, multi‑stakeholder projects with competing deadlines and dependencies.
• Systems thinker:
Natural ability to create order from chaos, design workflows, and optimize processes.
• Data‑driven storyteller:
Comfortable with Excel, PowerPoint, and BI/visualization tools (Tableau, Power BI, or similar) to analyze trends and communicate insights.
• Strategic contributor:
More than a task owner, you think critically about why and bring ideas that improve outcomes.
