About the Role

We are a fast-growing, founder-led company serving nonprofit founders across the United States. Our team is lean, mission-driven, and scaling quickly—which means clarity, execution, and operational discipline matter.

We’re hiring an Operations Project Manager who thinks like an operator:

  • You naturally turn ideas into plans
  • You organize chaos without being asked

This role is ideal for:

  • A seasoned operator who has already managed cross-functional execution, or
  • A strong project manager intentionally stepping into a broader operations role

You will work closely with the CEO/COO and function as the connective tissue between Marketing, Customer Experience/Fulfillment, Operations, and contractors.

What You Will Own 1. Cross-Functional Project Management
  • Translate CEO/COO initiatives into structured, executable project plans
  • Break complex initiatives into clear tasks, deadlines, and owners
  • Coordinate day-to-day execution across Marketing, CX/Fulfillment, Ops, and contractors
  • Maintain project momentum, proactively remove blockers, and escape issues when needed
  • Run weekly project reviews, priority alignment, and progress tracking
  • Ensure all active work lives and is managed inside Click Up
2. Team Execution & Accountability
  • Assign tasks with crystal-clear expectations and definitions of done
  • Keep teams aligned on priorities, deadlines, and dependencies
  • Follow up consistently to ensure high-quality, on-time execution
  • Provide operational feedback related to clarity, timeliness, and completion
  • Maintain accountability through systems, cadence, and communication (not micromanagement)
3. Click Up Ownership (Systems + Optimization)
  • Build and manage project templates, workflows, automations, and dashboards
  • Keep Click Up clean, organized, and up to date
  • Introduce best practices for visibility, prioritization, and execution
  • Continuously improve systems as the company scales

Click Up is not just a tool here—it’s the operating system.

4. Operational Support & AI-Forward Systems
  • Clarify workflows and improve operational processes across departments
  • Create SOPs, playbooks, and internal documentation
  • Use AI tools to support summaries, documentation, and operational efficiency
  • Support evolving internal operational needs as the business grows
What You Bring Required
  • 2+ years in project management, operations, agency coordination, or similar roles
  • Strong hands-on experience with Click Up or comparable PM tools
  • Excellent written and verbal English (internal-facing communication)
  • High ownership mentality—you take initiative and drive outcomes
  • Strong prioritization skills in fast-moving environments
  • Comfort respectfully pushing back, reorganizing priorities, and asking hard questions
  • Ability to work cross-functionally across multiple teams
  • Comfort using AI tools to improve speed, clarity, and execution
  • Experience working with small, fast-paced teams
Bonus (Not Required)
  • Experience in startups, agencies, or founder-led companies
  • Background in operations, CX, or marketing execution
  • Experience helping teams scale systems, not just manage tasks
Location & Hours
  • Fully remote
  • Start at 20–30 hours/week, with potential to grow into full-time
  • Requires consistent overlap with U.S. business hours
