Schedule:
Full-time,
onsite role, Monday through Friday (
40 hours per week
).
- Oversee daily practice operations across multiple office locations, including scheduling, patient correspondence, and third-party services.
- Manage compliance with all regulatory standards (HIPAA/PIPA, OSHA, etc.).
- Maintain a smooth, efficient patient flow throughout the day by coordinating scheduling, team communication, and chair utilization to ensure a seamless experience for patients and providers.
- Monitor and maintain practice budgets, A/R, and end-of-month reconciliation.
- Process insurance payments and refunds accurately.
- Support the practice’s marketing initiatives — including participating in and representing i-Orthodontics at community and local events to strengthen patient engagement and brand awareness.
- Partner with People & Culture and Talent Acquisition on recruiting, onboarding, and retaining team members.
- Support team training and ensure continuous professional development.
- Promote exceptional patient care and resolve inquiries promptly.
- Collaborate with doctors and support teams to enhance performance and operational efficiency.
- Foster communication through daily huddles, team meetings, and shared communication tools.
- Provide occasional back-up support to the Treatment Coordinator, including facilitating new patient consultations.
- Bachelor’s degree or diploma in business, office administration, or a related field (preferred).
- Proven experience managing a team and coaching for success.
- 3+ years in dental or healthcare environments (an asset).
- Strong organizational and change management skills.
- Proficient with basic technology tools and systems, including digital communication and office software.
- Passionate about leadership, growth, and creating a positive team culture.
- Comfortable representing the practice at events and engaging with the community.
- Highly organized with a keen eye for operational flow and patient scheduling efficiency.
- Detail-oriented with strong organizational skills and the ability to manage multiple priorities with accuracy and efficiency.
