A key role of the Financial Aid Advisor is assisting students with their financial aid eligibility. This individual is accountable for the one‑on‑one advising involved in ensuring students comply with their federal financial aid. The Financial Aid Advisor will work closely with the Admissions Department to provide financial aid options for potential new students and complete their packaging on time. The Financial Aid Advisor is also responsible for meeting a monthly cash collection goal.
Additional responsibilities may include participation in orientation, graduation, campus events, and various tasks. The Financial Aid Advisor must have extensive experience and judgment to plan and accomplish campus and department goals. Scorecard accountabilities include: first‑time appointments, applicants who enroll within five days, same‑day financial aid estimate, students enrolled in auto debit/payer express, cash collected vs. cash due, title 4 drawdowns on time, and complete student financial aid packaging promptly.
- Meet prospective students and determine their eligibility for financial aid and other tuition options, including payment plans or other financing options.
- During a student’s first meeting, estimate financial aid eligibility based on FAFSA completion and EFC confirmation. Schedule a follow‑up appointment within 48 hours to ensure the student completes the process.
- After packaging, enroll the student in payer express to contribute to campus goals.
- Set up all students in Quick Books Campus and Quick Books Cash Receipt with pertinent information, and upload award letters into Quick Books.
- Upload files for review by NFA and RFA through the enrollment cycle, including Term 2 files once SAP is received.
- Submit completed drop packets for review by NFA and RFA.
- Complete a payment plan form to ensure auto payment authorization and specific payment dates, with all tuition/fees due by the end of add/drop.
- Assist students flagged for verification to complete the process within two weeks of notification.
- If packaging results in more than a $5,000 out‑of‑pocket balance, obtain CEO approval before enrollment.
- Ensure packaging does not exceed 30 months, requesting NDFAP approval for extensions.
- Maintain compliant FA files, including enrollment agreement, ISIR, NSE estimate of FA, signed award, entrance counseling, MPN, payment plan, verification items, and ledger card.
- Maintain receipt of payments and complete nightly bank deposits.
- Interact with students via phone, email, texts, social media, and one‑on‑one communication to keep accounts less than 30 days past due.
- Conduct daily reviews of aging reports and internal tracking for payments due by active cohorts.
- Join weekly ledger review meetings with NFA and RFA, sending follow‑up emails about pending financial aid.
- Collect and process payments on due dates, adjusting for weekends.
- Review weekly grad and drop aging to keep accounts current.
- Execute MPNs by the end of the drop/add period.
- Conduct entrance and exit counseling as required.
- Follow up with pending financial aid students to ensure they have all information needed for their education decision, meeting the app‑to‑enroll weekly goal.
