Electronic Health Information Management (eHIM) Specialist I
National Jewish Health seeks an experienced Electronic Health Information Management (eHIM) Specialist I to accurately retrieve, process, and manage medical records using the electronic medical record (EMR) system. The role is critical for ensuring timely access to patient data across inpatient, outpatient, and clinic settings.
Position SummaryThe specialist will handle scanning, indexing, transporting, and retrieving records to ensure accurate posting in the EMR. Responsibilities include maintaining data quality, resolving errors, and supporting clinical teams with chart access as needed.
Responsibilities- Chart Pickup and Reconciliation:
Locate and retrieve new discharged records from inpatient and outpatient areas, prepare them for scanning, and reconcile discharges. - Document Preparation and Scanning:
Verify patient identifiers (MRN, HAR, CSN, name) and document identifiers; categorize documentation by type; scan without errors; forward unresolved issues to quality review. - Indexing and Verifying:
Ensure documents are correctly classified for scanning and inbound fax workflows, supporting clinical teams efficiently. - Quality Control and Error Queue Resolution:
Perform 100% review to verify correct patient posting and image completeness; flag errors for correction. - Record Retrieval and Filing:
Use terminal digit and chart location systems to locate and file medical records, responding to staff requests rapidly. - Inbound Fax Management:
Identify indexing needs, prioritize external results, and process faxes to prevent patient care delays. - Missing Records Research:
Locate and provide missing records by contacting staff or retrieving paper charts. - Loose Filing Retrieval:
Gather records for scanning and deliver them to appropriate locations. - Daily Identifier Lookup:
Perform patient ‑ups and sorting to support timely processing. - Productivity Reporting:
Submit daily stats and perform quality assurance as requested.
- Act as a backup during staff absences and vacancies.
- Process deceased patient documentation, merge requests, and offsite record pulls.

- Education:
High school diploma or equivalent. - Experience:
1 year in a medical records department or medical setting preferred. - Special Training/Certification:
None.
