Job Purpose
The Warehouse Admin Supervisor is responsible for overseeing daily warehouse administration across all warehouse facilities role ensures efficient inventory management, shipping and receiving processes, and compliance with safety and quality standards.
This position focuses on optimising warehouse system processes, maintaining accurate records, and coordinating with other departments to ensure smooth logistics, customer service and overall supply chain operations.
The role also includes supervising administrative employees, ensuring quality standards are met, procedures are followed correctly, and supporting staff performance, scheduling, and development.
Salary: £31 000
Hours of Work:
Monday to Friday, 09:00 – 17:30 (Basic Hours).
Flexibility is required to support team shifts and occasional weekend working where necessary.
Key Responsibilities
Team Supervision & Performance Management
• Oversee daily duties of warehouse administration employees to ensure quality standards and procedures are consistently met.
• Provide guidance and support in handling errors, operational problems, complaints, and disputes.
• Conduct performance analysis and identify areas for improvement.
• Escalate performance concerns where appropriate.
• Coordinate work schedules and duty assignments.
• Support training, onboarding, and cross-departmental collaboration.
Warehouse Operations & Process Optimisation
• Monitor warehouse administration workflows to ensure efficiency across storage, picking, packing, goods receipt, and shipping.
• Ensure accurate system handling, storage, and organisation of goods to maximise space utilisation.
• Implement and monitor best practices for inventory control and stock rotation (FIFO, LIFO).
• Maintain Warehouse Management Systems (WMS) and transport systems (e.g., Qargo).
• Ensure system accuracy for all incoming and outgoing shipments.
• Oversee labelling, documentation, scanning, and correct storage of goods.
Shipping & Receiving Coordination
• Manage receipt and inspection of incoming shipments to verify accuracy and condition.
• Ensure timely and accurate order fulfilment and dispatch.
• Maintain accurate and compliant documentation for inbound and outbound shipments.
Health & Safety Compliance
• Support compliance with health and safety regulations and company policies.
• Conduct regular system checks and stock integrity reviews to identify potential risks.
• Maintain documentation related to operations, audits, and compliance requirements.
Quality Assurance & Continuous Improvement
• Maintain high standards of quality control within warehouse administration systems.
• Identify and implement process improvements to enhance efficiency and accuracy.
• Support continuous improvement initiatives across warehouse administration.
• Investigate and resolve discrepancies, damages, and lost inventory through system controls.
Reporting & Documentation
• Maintain accurate records of warehouse activities, including inbound and outbound shipments.
• Provide reports and operational updates to management as required.
• Experience Requirements
• Proven experience in a warehouse and/or administration environment.
• Proficiency in inventory software and warehouse management systems.
• Strong understanding of warehouse safety regulations and compliance standards.
• Excellent organisational and time management skills.
• Strong customer-facing and communication skills.
Qualifications & Skills
• GCSE (or equivalent) in English and Maths (essential).
• MHE Licences (desirable).
• Strong proficiency in MS Office and warehouse management systems (WMS).
• Strong problem-solving skills with a proactive approach to identifying and resolving issues.
• High level of honesty, integrity, and professionalism.
