Accounts Payable Specialist
Reports to:
Vice President of Administration
The Accounts Payable Specialist is responsible for managing the full accounts payable process. The position collaborates with internal departments to ensure proper paperwork and approvals are received, processes employee expense reports, and assists with month‑end accounting tasks. Additionally, this role provides general office support to ensure smooth day‑to‑day operations.

- Manage the Accounts Payable email address and respond to vendor inquiries.
- Save invoice/packing slips received via the AP email and traditional mail in appropriate folders.
- Enter purchase orders from the Manufacturing Software into Accounting Software.
- Enter all packing slips and invoices into Quick Books with correct coding.
- Work with outside departments to ensure paperwork arrives on time.
- Send out checks/ACH remittances on a weekly basis.
- Review vendor accounts to avoid finance charges.
- Process employee expense reports and credit card statements.
- Assist with month‑end tasks.
- Answer incoming company calls and greet visitors to the office.
- Order supplies and promotional materials as needed.
- Provide general assistance to the office and executive team.
Knowledge &
Skills:
- Microsoft Office skills, including intermediate Excel skills.
- Strong communication skills, both verbal and written.
- Strong attention to detail and interest in accuracy.
Education:
Associates degree or high school diploma.
Experience:
2 years of experience in accounts payable preferred.
