Law Office Administrator - Des Moines, IA

What You’ll Do- Maintain the attorneys’ office calendar and ensure efficient use of their time.
- Answer and direct incoming calls, scheduling appointments as needed.
- Contact potential clients to reschedule or confirm consultations, maintaining timely, professional communication.
- Gather, organize, and enter data into Smart Advocate (our case‑management system).
- Arrange couriers and process servers as directed.
- Check e‑mail and voicemail to respond promptly to all inquiries.
- Order marketing materials through the Marketing team.
- Keep the office, including lobby and supply rooms, clean and organized.
- Approach all clients and employees with a positive tone and genuine warmth.
- Handle sensitive client data with discretion, care, and accuracy.
- Prepare and upload bank deposits; process check requests and invoices.
- Perform assigned tasks accurately and promptly, meeting all deadlines.
- High school diploma or GED.
- Prior experience in a law office, medical office, or a similar professional setting; previous office‑administrator experience preferred.
- Background in administrative support or office management.
- Strong verbal and written communication skills with a collaborative and approachable demeanor.
- A professional presence and ability to interact confidently with clients and colleagues.
- Reliable transportation and availability on site Monday through Friday, 8:30 AM – 5:30 PM.
- Proficiency in Microsoft Office (Word, Outlook, Excel).
- Exceptional attention to detail, multitasking ability, and organizational skills.
- A proactive mindset and willingness to go above and beyond simple requests to help others.
As the first point of contact for clients, you shape their experience with Cordell & Cordell. By managing attorney calendars, communications, and client scheduling, you create a seamless, supportive process during families’ difficult times.
