Join our dynamic and expanding studio, as we seek to add a dedicated Facilities and Administration Assistant to our team!
Your duties will encompass opening and closing the studio buildings, ensuring compliance with regulations, and providing efficient administration support.
Shift Pattern- Early: 07:00 - 15:30, Monday to Friday
- Mid: 08:30 - 17:00, Monday to Friday
- Late: 10:30 - 19:00, Monday to Friday
Shift rotation occurs weekly and work may include weekends or longer shifts.
Responsibilities- Oversee and prioritize tasks across all facilities to ensure efficient daily operations.
- Provide comprehensive administrative assistance, which includes managing phone calls, processing mail, coordinating courier services, and handling collections and deliveries.
- Greet visitors with a warm and professional attitude.
- Monitor and replenish office supplies, refreshments, personal protective equipment (PPE), and inventory for the snack shop.
- Ensure compliance with health and safety standards by conducting risk assessments, organizing fire drills, and tracking training needs; maintain firefighting equipment, conduct checks on fire alarms, sprinkler systems, fire extinguishers and EML.
- Maintain accurate building signage and manage security systems, including key control.
- Plan and carry out Portable Appliance Testing (PAT) and keep related records current.
- Assist in the organization of company social events and the upkeep of the games library.
- Adopt a proactive approach to maintaining the office's overall condition and appearance.
- Ensure the efficient completion of meeting documentation and various administrative tasks such as photocopying, scanning, and filing.
- Demonstrated administrative expertise in a dynamic environment, efficiently managing multiple priorities.
- Familiarity with facilities management and a comprehensive understanding of health and safety protocols.
- Proficient in Microsoft Office Suite and other pertinent software applications.
- Strong organisational abilities complemented by meticulous attention to detail.
- Availability for out-of-hours callouts after training.
- A valid driving licence and access to a vehicle is desirable.
