Personal Assistant (PA)
Location: Electron Building, R97, Fermi Avenue, Didcot, Oxfordshire OX11 0QR
(Hybrid)
Pay rate: £19.61 per hour
Working days/hours: Monday to Friday, 9:00am to 5:00pm
Assignment: ASAP start, until 01/04/2027 (extension subject to business needs)
Clearance: Basic DBS
Our Client is looking for a proactive, well-organised Personal Assistant to support two Deputy Directors. If you enjoy managing complex diaries, coordinating travel and events, and helping senior leaders stay focused on what matters most, this is a fantastic opportunity to bring your PA skills to a high-profile organisation at Harwell Science & Innovation Campus.
What you'll be doing:- Provide comprehensive PA support to two Deputy Directors (SCS1s)
- Manage complex diaries, schedule appointments, and prioritise meetings
- Arrange domestic and international travel, accommodation, and detailed itineraries
- Coordinate meetings, events, and conferences, including venue bookings and logistics
- Process expenses, refunds, and other administrative requests accurately and promptly
- Monitor, prioritise, and redirect emails, flagging urgent matters when required
- Prepare meeting materials, agendas, and reminders to support effective planning
- Maintain accurate records, filing systems, and up-to-date documentation
- Support ongoing projects and business activities with reliable administrative coordination
- Liaise with internal and external stakeholders professionally and efficiently
- Provide cover and support to other Deputy Directors during periods of absence
- Work independently-managing priorities and deadlines with minimal supervision
- Strong organisation skills with the ability to manage competing priorities
- Proven experience supporting senior leaders with diary, correspondence, and administration
- Confidence coordinating travel and handling logistics with attention to detail
- Excellent communication and stakeholder management skills (discreet, polished, and proactive)
- Strong document and records management capability
- Good judgement to identify urgency, redirect effectively, and keep actions moving
- Professional reliability and the ability to work autonomously to deadlines
