Due to continued growth, we are looking to recruit a Service Administrator to support our Service Manager across our Servicing, Installation, and Aftercare functions.
This is a key operational role that goes beyond traditional administration, combining service coordination, scheduling, customer service, and process improvement. Acting as a central link between office operations, engineers, contractors, suppliers, and clients, the Service Administrator will help ensure our services are delivered efficiently, professionally, and to the highest standards.
- Act as the primary point of contact for the Service Manager, translating priorities into action across service and technical teams
- Plan and schedule engineers and contractors, balancing workloads and responding to urgent service needs
- Liaise with tenants/clients and contractors to coordinate repairs, maintenance, and servicing works
- Maintain and improve service workflows in line with SLAs, warranties, and preventative maintenance schedules
- Monitor and report on service KPIs and operational performance
- Manage stock control systems, forecasting demand and minimising shortages
- Raise and process purchase orders and supplier invoices
- Liaise with suppliers regarding costs, availability, and delivery
- Handle service enquiries by phone and email, including the majority of calls for the Dingwall office
- Manage customer complaints and service concerns professionally and efficiently
- Prepare and maintain accurate service documentation, warranties, compliance certificates, and work records
- Carry out customer follow-ups and gather feedback for service improvement
- Support the Service Manager with reporting, meetings, and coordination across departments
- Maintain CRM systems and service databases
- Monitor service expenditure and highlight risks or variances
- Identify opportunities to improve processes and systems
Required:
- Experience in a fast-paced service, technical, or engineering office environment
- Strong organisational and time management skills
- Excellent written and verbal communication skills
- Confident IT skills, including Excel and CRM/database systems
- Ability to prioritise workloads and work under pressure
- Strong customer service focus and professional approach
- Experience in stock control, procurement, and invoice processing
- Experience with preventative maintenance scheduling or asset management
- KPI reporting and operational data analysis
- Familiarity with renewable energy or technical service industries
- Proactive, adaptable, and detail-oriented
- Strong sense of accountability and teamwork
- Resilient in a fast-moving service environment
