The Part-Time Events Assistant will work directly with the Event Coordinator to help make sure events at Boot Hill Museum are set up, run, and cleaned up properly.
This is a hands-on position that will help with everything from setting up rooms and decorations to assisting with food, bar service, cleanup, and organizing event equipment between events.
The Events Assistant will work closely with the Maintenance Department, Event Cook, Bartender, and other staff to make sure everything is ready and meets the Event Coordinator's expectations.
The Event Coordinator will set the schedule and determine the responsibilities for each event.
Responsibilities Event Setup & Equipment- Help set up and tear down events as directed by the Event Coordinator.
- Set up tables, chairs, tablecloths, linens, decorations, signs, and other event items.
- Work with Maintenance to make sure rooms and event spaces are set up correctly.
- Help move tables, chairs, supplies, and event equipment as needed.
- Wash, dry, fold, and put away tablecloths and other reusable linens.
- Keep event supplies, decorations, serving equipment, and special event equipment clean, organized, and ready to use.
- Help organize and maintain the Museum's special event equipment and storage areas.
- Help keep track of event supplies and let the Event Coordinator know when something is running low, damaged, or needs to be replaced.
- Work alongside the Event Coordinator during scheduled events.
- Help split coverage with the Event Coordinator during longer events.
- For smaller events, help manage assigned responsibilities from setup through cleanup.
- Help make sure events stay on schedule and are running according to the Event Coordinator's plan.
- Assist with guest needs and other event tasks as they come up.
- Help clean up event spaces and return rooms, equipment, and supplies to their proper place after events.
- Helping with food preparation.
- Setting up food tables, serving areas, beverage stations, and other catering items.
- Moving food and supplies to the event space.
- Helping keep food and serving areas clean and stocked during the event.
- Helping with food service as needed.
- Helping with cleanup and putting catering equipment and supplies away after the event.
- Helping set up the bar area.
- Getting glassware, ice, mixers, garnishes, and other supplies ready.
- Assisting the Bartender during the event.
- Helping keep the bar area clean and stocked.
- Helping with bar cleanup and closing after the event.
- Work closely with the Maintenance Department, Event Cook, Bartender, and other Museum staff while working events.
- Take direction from the Event Coordinator regarding the schedule, priorities, and responsibilities for each event.
- Communicate with the Event Coordinator about any problems, delays, missing supplies, or other concerns.
- Help make sure all areas of the event are working together and meeting the Event Coordinator's expectations.
- Maintain a positive and professional attitude when working with guests, clients, vendors, and Museum staff.
Qualifications
- Must be 21 years of age or older.
- Previous event, catering, restaurant, hospitality, or customer service experience is helpful but not required.
- Must be available to work evenings and weekends.
- Must be dependable and able to work a flexible schedule based on the event calendar.
- Good communication and organizational skills.
- Comfortable working with a team and jumping in wherever needed.
- Able to work in a busy environment.
- Willing to help with setup, food, bar service, cleanup, and other event needs.
- Able to stand and walk for extended periods of time.
- Able to lift and move tables, chairs, boxes, supplies, and event equipment.
- Able to bend, reach, stoop, and move around event spaces.
- Comfortable working both indoors and outdoors depending on the event.
- Able to work longer shifts when needed for larger events.
- $15–$16 per hour, based on experience.
- Cell phone stipend.
- This is a part-time position averaging 25–32 hours per week. Hours will vary depending on the Museum's event schedule.
- This position will include evenings and weekends, and the Events Assistant will need to be flexible during busy event periods. The Event Coordinator will set the schedule based on upcoming events and the Museum's needs.
