About the Role:
We are looking for a detail-oriented and organized Administrative | Document Control professional to join our team in Qatar. The ideal candidate will have a solid background in construction or engineering environments and will be responsible for maintaining accurate project documentation, supporting administrative operations, and ensuring smooth coordination between departments.
- Manage and control all project-related documents in accordance with company procedures and project requirements.
- Ensure all drawings, correspondence and technical documents are properly filed, updated, and distributed.
- Maintain an organized filing system (electronic and hard copies) for all project documents.
- Track document submissions, approvals and revisions to ensure version control and prepare transmittals, submittals, templates and official letters.
- Support project managers, engineers, and BIM teams with document preparation and administrative needs.
- Handle internal and external communication related to documentation and project coordination.
- Assist in preparing reports, presentations and project-related records.
- Perform general administrative tasks such as scheduling, meeting coordination and record maintenance.
- Work collaboratively with Managing Directors, Managers and colleagues across departments.
- Ability to multitask and manage multiple priorities efficiently in a fast-paced environment.
- Perform secretarial duties, including correspondence management, meeting preparation, travel coordination and purchasing of office supplies or other requirements.
- Report closely to the Managing Directors and provide comprehensive administrative support as needed.
- Provide HR support, including candidate sourcing, staffing coordination, and secondment arrangements.
- Maintain staff records such as leave tracking and attendance monitoring.
- Prepare official letters and documentation in line with company HR procedures and policies.
- Assist in basic accounting tasks such as compiling end-of-month expense and financial reports.
- Provide marketing support, including preparing prequalification documents and company profiles as required by the marketing department.
- Bachelor's degree or diploma in Business Administration, Engineering, or a related field.
- Minimum 3–5 years of experience in administration or document control, preferably in the construction or engineering sector.
- Proficient in MS Office (Word, Excel, PowerPoint) and document control systems (e.g., Aconex, SharePoint, or similar).
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to work under pressure and meet deadlines in a fast-paced project environment.
- Valid QID (transferable) is mandatory.
- Available to join immediately or within short notice.
Preferred Pinoy
Prior experience with a construction or design consultancy is an advantage.
