Position Overview:

We are looking for a well‑presented, organized, and efficient Receptionist cum Executive Secretary to manage the front desk and provide high‑level administrative support to senior management. The ideal candidate should have strong communication skills, professionalism, and the ability to multitask in a fast‑paced environment.

Key Responsibilities

Front Desk & Reception Duties

  • Greet visitors courteously and manage the reception area.
  • Answer and route incoming calls professionally.
  • Handle incoming/outgoing mail, courier services, and office correspondence.
  • Maintain a clean, presentable, and welcoming reception environment.

Executive Secretary Support

  • Provide executive‑level administrative assistance to top management.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Draft, review, and prepare official letters, emails, and documents.
  • Organize and prepare meeting agendas, minutes, and follow‑up actions.
  • Coordinate travel bookings, hotel reservations, and itineraries.

Administrative Coordination

  • Maintain confidential documents and filing systems.
  • Liaise with internal departments and external partners when required.
  • Assist in preparing reports, presentations, and administrative tasks.
  • Support HR and Admin functions as needed.

Skills &

Qualifications:

  • Arab National preferred.
  • Diploma or Bachelor's degree in Administration, Business, or related field.
  • Minimum 2–4 years experience in reception, executive assistance, or administrative roles.
  • Excellent communication skills in Arabic and English.
  • Strong knowledge of MS Office (Word, Excel, PowerPoint).
  • Professional appearance and strong interpersonal skills.
  • Ability to handle confidential information with integrity.
  • Strong organizational and multitasking abilities.
