Position: Document Controller (Philippine National)

A document controller is a controller responsible for the timely, accurate and efficient preparation and management of documents. They control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects, or departments.

Duties & Responsibilities
  • To manage all commercial and technical documents for the project.
  • Perform all clerical work which include filing, typing, photocopying, fax correspondence and other works. being assigned from time to time.
  • Maintaining and updating the database and manual filings.
  • Receiving and checking all incoming correspondence and transmittal of drawing documents. Reports to the Heads of Department.
  • Review each document for conformity and accuracy.
  • Keep all project documents orderly, complete, and categorized for easy accessibility to specific records and projects.
  • Ensures delivery and receipt of all documents by deadlines. Design Filing System
  • Maintains updated records of all approved documents and their distribution clearly. Protecting and securing the files and records.
  • Generate various document control reports as required.
  • Any other work required by the company under your profession.
Qualifications, Experience and Education
  • University degree
  • Familiarity with phone systems
  • Previous experience with Microsoft Office software preferred.

Skills
  • Document Control Training Certificate
  • Proficiency in software like MS Office, SharePoint, Aconex, or EDMS
  • Good knowledge of document management procedures and ISO standards Excellent communication skills, both written and verbal.
  • Excellent time management skills.
  • Ability to work under pressure.
  • Self-motivated, hardworking, flexible.
