Job SummaryThe Document Controller is responsible for maintaining and managing all company or project‑related documents to ensure that they are easily accessible, securely stored, and up‑to‑date. The role involves organizing and coordinating document control processes and ensuring compliance with company policies and regulatory standards.
Key Responsibilities- Maintain a structured filing system for both physical and electronic documents.
- Ensure proper labeling, categorization, and version control of documents.
- Regularly update and archive obsolete or outdated documents.
- Distribute documents to relevant departments, teams, or stakeholders in a timely manner.
- Monitor and track document review and approval workflows.
- Ensure all documents comply with organizational and regulatory standards.
- Conduct periodic audits to ensure document accuracy and consistency.
- Work closely with project teams, managers, and external parties to ensure smooth document exchange.
- Respond to document‑related inquiries promptly and professionally.
- Manage and maintain document management software or platforms.
- Provide training and support to staff on document control procedures and systems.
- Generate regular reports on document control activities, such as status updates and compliance metrics.
- Identify areas for improvement in the document control process.
- Education:
Diploma or bachelor’s degree in business administration, management, or a related field is preferred. - Experience:
Familiarity with document control software (e.g., SharePoint, Aconex, EDMS) is an advantage. - Skills:
Strong organizational and multitasking skills; excellent attention to detail and accuracy; proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); knowledge of document management standards and best practices; strong communication and interpersonal skills; fluent in both English and Chinese Mandarin. - Language:
