Key Responsibilities
  • Provide advanced administrative and confidential support to ensure efficient department operations
  • Prepare business documentation including presentations, reports, charts, and spreadsheets
  • Maintain structured filing systems, manuals, invoices, and internal records
  • Coordinate travel arrangements, meeting schedules, and communication records
  • Compile and manage staff attendance, overtime, leave records, licenses, airport passes, residence permits, and training documentation
  • Liaise with HR on staff matters including payroll data, uniforms, medical referrals, promotions, resignations, and disciplinary cases
  • Coordinate with immigration services for issuance and renewal of airport passes and residence permits
  • Monitor stationery, pantry supplies, and uniforms while maintaining budget control through Oracle ordering systems
  • Manage petty cash transactions, maintain registers, reconcile balances, and prepare daily cash summaries
  • Oversee asset upkeep including radios, scanners, electronic devices, and other operational equipment
  • Act as a point of contact for new recruits and assigned departmental services
  • Handle telephone inquiries, internal requests, and staff queries professionally and efficiently
Ideal Profile
  • Bachelor's degree or equivalent qualification
  • Minimum 1 year of administrative or office support experience
  • Experience in database administration and record management
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Word, Excel, and Power Point
  • Highly organized with the ability to manage confidential information
  • Strong interpersonal and teamwork capabilities
  • Ability to work independently and meet tight deadlines
  • Problem-solving skills with logical and analytical thinking
  • HR or Administration qualification is an advantage
