Seib Insurance & Reinsurance, a company of Chedid Capital Group, is looking for an Administration Manager to join its growing team. The Administration Manager will be responsible for overseeing office operations, supporting employees and management, coordinating events and purchases, managing assigned projects, and providing executive support to the COO & Deputy CEO.
Responsibilities
- Manage daily office operations and ensure all office issues, maintenance, and improvements are properly handled.
- Supervise the administration team, drivers, and administrative assistants.
- Support employees with HR-related matters, ensure compliance with internal HR policies, and coordinate concerns with the HR department.
- Manage purchasing processes, verify LPOs, obtain the required quotations, and ensure the best value and proper approvals.
- Review and cross-check all documents requiring the COO’s signature, ensuring that the information, approvals, supporting documents, and relevant details are accurate and complete before sharing with COO for signature.
- Handles company events, exhibitions, gatherings, client meetings, and other activities. And make sure it is all coordinated with Finance (within budget), Marketing, management, and external suppliers.
- Coordinates with the Marketing team for the preparation of brochures, marketing materials, and other company collaterals.
- Manage the COO’s calendar, appointments, and meeting requests.
- Prepare management meeting agendas and minutes and follow up on pending action points.
- Manage projects assigned by the COO and ensure they are completed within the agreed scope and timeline.
- Coordinate internal and external communication related to the Captive Management Division.
- Maintain proper records, reports, approvals, and confidential documents.
- Perform other administrative and management support duties as assigned.
- Promote cost-saving initiatives across the company by supporting the paperless project, reducing unnecessary expenses, improving resource use, and identifying practical opportunities for operational savings.
Requirements
- Bachelor's degree in business administration, management, or a related field
