Job Purpose

The Procurement Specialist is responsible for coordinating day-to-day purchasing activities and supporting the end-to-end procurement process. This role involves sourcing, negotiating, and purchasing goods and services that meet the organization’s quality, cost, and delivery requirements. The Procurement Specialist also maintains accurate procurement records, ensures policy compliance, and contributes to the continuous improvement of procurement practices.

Duties and Responsibilities
  • Coordinate daily procurement activities, including issuing purchase orders and managing approvals.
  • Source suppliers and vendors that meet company standards for quality, cost-effectiveness, and reliability.
  • Solicit and analyze quotes, proposals, and bid submissions.
  • Negotiate pricing, terms, and contractual conditions to secure competitive value.
  • Purchase and negotiate materials and supplies from approved vendors.
  • Communicate purchase orders to suppliers in a timely and effective manner.
  • Develop and maintain a comprehensive supplier contract database.
  • Estimate and establish budgets for purchases based on organizational needs.
  • Review and evaluate vendor and supplier performance to ensure quality and reliability.
  • Ensure that suppliers deliver items as per required specifications and provide the correct shipping documents.
  • Assist in maintaining the Purchase Order System to ensure accuracy and alignment with business requirements.
  • Review the overall value and cost-efficiency of existing suppliers and recommend improvements.
  • Maintain a secure and organized filing system for all procurement documentation, including contracts, purchase orders, and quotations, in line with department policies.
  • Treat all suppliers fairly and equally, avoiding conflicts of interest and complying with legal and organizational obligations.
  • Monitor the receipt of purchased materials and services, and maintain accurate records of purchases, inventory, and deliveries.
  • Support internal departments throughout the procurement process and guide best practices.
  • Track and monitor open orders to ensure on-time delivery and resolve issues as they arise.
  • Ensure all procurement activities comply with company policies, procedures, and applicable regulations.
  • Monitor market trends, pricing changes, and supply chain risks.
  • Conduct cost analyses to support informed purchasing decisions.
  • Prepare regular procurement reports and metrics for management review.
  • Perform other duties related to procurement as assigned by direct management.
Qualifications & Experience
  • Bachelor’s degree in Supply Chain Management, Business Administration, Procurement, or a related field.
  • 3 years of relevant experience in procurement, purchasing, or supply chain operations.
  • Strong negotiation and vendor-management skills.
  • Knowledge of procurement principles, practices, and regulatory requirements.
  • Familiarity with ERP or procurement software systems.
  • Excellent organizational and time-management abilities.
  • Knowledge of procurement procedures and best practices.
  • Proficiency in Microsoft Office (especially Excel) and purchasing systems.
  • Integrity and professionalism in dealing with suppliers and internal stakeholders.
  • Proficiency in the English language and Arabic is an added value.
  • Valid Qatar Driving license.
  • Good communication skills in English, and Arabic Knowledge is an advantage.
  • Must be available in Qatar with a Valid QID and QDL & transferable visa (NOC).
  • Immediate joiners preferred.
