ObjectiveThis role will be responsible for efficient and effective operation of the Qatar Hire Desk functions; additionally there will be some interaction and guidance responsibility within the operations, commercial and technical team.
Organisational StructureReports to Finance Manager.
Tasks and Responsibilities- Understand and perform all “rental cycle” tasks with the rental desk teams including transport & logistics, telematics monitoring, administration related to hire desk operations, account release request with credit control team.
- Ensure timeliness and accuracy of the rental desk team’s data and status updates in the Insp Hire/Net Suite platform and any other agreed data management tools.
- Schedule operations supervisors on site familiarizations & off-hire inspections.
- Monitor the delivery of machines and assign tasks to the operations supervisors.
- Understand and perform communication pathways (phone, email, verbal, system) for internal and external machine rental related requests, following the correct processes, with a view to elimination of waste and duplications (defects).
- Prepare hire agreements and email to the customer.
- Follow up hire agreements, LPO’s prior to delivery of machines.
- Ensure rental agreements, delivery notes/collection notes, LPO’s that are required to enable a machine on/off hire are accurately completed, filed and updated in the system.
- Collect pre‑delivery photographs of the machines & have them filed in the system.
- Prepare the delivery notes and provide them to the transporter.
- Prepare a job file against each sales order & file the documents, including delivery note acknowledgements.
- Forward information and update the customer inquiry log.
- Check customer emails, liaise with commercial and technical staff closely for coordination of each specific job.
- Occasionally provide additional reporting to the operations manager, related to rental desk function as required.
- Arrange the correct transport to deliver/collect the machines after coordinating with site persons and account managers for delivery & collection times, site location details & specific site access needs.
- Schedule and prepare off hire/collection notes as per the instructions from customer or account managers email request.
- Coordinate with account managers and technical teams & prepare the “priority machine requirements”.
- Based on this priority list, the hire desk and technical will coordinate machine readiness and delivery schedules.
- Monitor and share appropriate customer damage details to the technical team for creation of damage advice notes.
- Liaise with the Credit Control and Accounts teams to ensure timely and accurate completion of monthly rental revenue invoicing and transport supplier invoice postings.
- Perform daily updates of the order intake form, revenue tracker, and delivery schedule to ensure accuracy and timeliness.
- Working knowledge of Microsoft Excel & any ERP software
- Management report generation and analysis
- Degree or diploma in engineering or management
- Minimum 3 years of experience in rental desk, order/customer management in rental/logistics industry
- Experience in heavy equipment rental industry will be an added advantage
- Enthusiastic and self‑motivated
- Team player with excellent communication and people management skills
- Negotiation skills
- Strong computer literacy with advanced proficiency in MS Office tools, including pivot tables, lookup functions, IF statements, conditional formatting etc.
- Must be locally available with a transferable visa and able to join immediately or within a short notice period
- Fluent in English;
