Person ProfileThe Academic Assistant for Middle School and Deputy Head of School for Learning, Analytics & Innovation should be a caring, inspirational, passionate, adaptable, creative, and innovative member of staff. He/she should be an outstanding motivator, learner, administrator, and communicator, with excellent interpersonal skills, and should be capable of ensuring coordination and cooperation in the daily operations of the Front and Back Office through a caring, stimulating, and well‑organized environment.
Qualifications- Bachelor’s degree in administration or equivalent
- Minimum of 2 years of receptionist and/or administrative experience
- Be aligned with the ISL values of belonging, integrity, grit and kindness
- Possess excellent communication and collaborative skills
- Have the ability to develop and work with teams, including collaborating and maintaining effective relationships with all levels of the school administration, departments and employees
- Be able to provide support for members of the front and back‑office team
- Have absolute discretion in handling confidential information
- Ability to analyse, evaluate and prioritise challenges and issues and develop workable solutions
- Have the ability to be proactive, manage multiple priorities and fulfil responsibilities with minimal direction
- Have an excellent command of spoken and written English (strong ability in Arabic would be an advantage)
- Be proficient in using office software and management tools
- Fostering the values, dispositions, behaviours, attitudes and attributes of the ISL Qatar guiding statements and IB learner profile
- Being the first point of contact for any enquiries, messages and coordinate appointments or meetings for the Head of Middle School and Deputy Head of School
- Attending teaching staff meetings, support in preparing agendas and minutes of meeting when necessary
- Managing food orders for school‑related events and functions, ensuring timely delivery and coordination
- Managing the dissemination of school‑related emails to parents, staff and other stakeholders
- Supporting in the daily morning Middle School registration, ensuring accurate student attendance records
- Recording and updating information on bulletin notes, early‑leave requests and other required approvals in the school database (iSAMS, Toddle, etc.)
- Recording and updating all student information regarding classes and subject allocation
- Ensuring appropriate cover arrangements for any staff absences and cover teacher assignments
- Sending communication to Middle School teachers and parents regarding student late and absences
- Preparing attendance letters and transfer certificates in both Arabic and English as needed for communication with Middle School parents
- Providing support and assistance to parents with their enquiries, requests, concerns, and ensuring high leave of customer service
- Collaborating with teachers in addressing and supporting parents' needs and enquiries related to their children’s education
- Assisting in setting up and organization of Middle School student assemblies, Celebration of Learning events, parent‑teacher conferences, other parent meetings and other special events
- Assigning late room duty for teachers and ensuring that the late room is always covered
- Any other duties assigned by the Head of Middle School and Deputy Head of School for Learning, Analytics & Innovation (DHLAI)
