Administrative Logistics Security Specialist (ALSS) (S) Responsibilities
- Perform general administrative and logistical support functions (S)
- Prepare and maintain personnel, property, maintenance, and operational records and prepare periodic/scheduled reports.
- Maintain duty schedules and time sheets.
- Coordinate travel and shipping arrangements.
- Coordinate billeting, storage, and maintenance activities.
- Maintain the inventory database; the format will be provided by the DS Resource Management in coordination with HTP and Defense Equipment and Armored Vehicles (DEAV).
- Designated ALSS assigned duties and responsibilities may include overseeing and scheduling vehicles supporting protective operations, including vehicle procurement, receiving, shipping, maintenance scheduling/tracking, repairs scheduling/tracking, serviceability, fuel logs, dispatch records, transfer of vehicles, and maintaining an active and accurate record of all vehicles assigned to protective operations (both armored and unarmored).
- The ALSS assists in planning, development, and administration of a comprehensive administrative program to serve the needs of the DS Agents and PSS assigned to protective operations.
- Administration, payroll, and time sheets.
- Maintain an active and accurate record of all assigned equipment, including weapons, ammunition, radios, ballistic vests, ancillary protective equipment, vehicle equipment, medical kits, and Chemical‑Bio equipment.
- Coordinate the shipment and receipt of equipment and materials with the U.S. Embassy and host country, documenting that proper customs procedures and standards are adhered to.
- Maintain strict accountability of equipment, supplies, spare parts, etc. through a computerized file and accounting system.
- Prepare country clearance telegrams for all incoming and outgoing personnel traveling to other countries in support of protective operations.
- Prepare travel locator telegrams for the movement of Agents assigned to the U.S. Mission.
- Coordinate transport and appropriate security for all incoming and outgoing protective security personnel to/from the airport and ensure housing needs are met both in‑transit and in country.
- Arrange and/or confirm air transport schedule, following Post guidelines for various optional travel routings.
- US Passport and US State Driver's License required.
- At a minimum, must possess either a bachelor’s degree in logistics/supply chain management from an accredited institution OR a current Certified Professional Property Specialist certification;
Certified Professional Property Administrator certification is preferred ((Use the "Apply for this Job" box below).). If you do not have these you will not be considered. - Experience working with a wide range of procurement and logistics issues.
- Must possess a minimum of three (3) years of experience in administrative and logistical support management.
- At least two (2) years of this experience must have been in property management, with demonstrable experience in at least three (3) of the following areas:
- Acquisition
- Audits
- Control (ownership, responsibility, and accountability)
- Disposition and retirement
- Movement and transfers
- Inventory
- Property accounting
- Receiving
- Records and reporting
- At least one (1) year of this experience must have been in overseas procurement and logistics management.
- Must be proficient in Microsoft Word, Excel, Outlook, and possess sufficient computer skills to manage electronic files and an electronic records‑keeping system.
- Strong written and interpersonal skills.
- Proficient in Microsoft Word, Excel, Outlook, and general computer skills.
- Ability to live and work in dangerous and difficult conditions.
- Ability to maintain strong working relationships and deal effectively with high‑ranking U.S. Embassy personnel and high‑ranking military officers.
- Attend and successfully complete the NPSS training course.
- Qualify with the Glock‑19 and M4, re‑qualifying as required by the task order.
- Obtain and maintain a personnel security clearance at the Secret level.
- Complete the WPS Physical Readiness Test at the 50% performance level and maintain that fitness level for the duration of service on the task order.
- Possess the ability to lift and move equipment weighing up to fifty (50) pounds.
- Possess no impediments to traveling overseas to and within countries that are considered dangerous or unhealthy in general, or to the country or countries assigned in the applicable task order in specific.
We expect this position will be included in the recent federal Executive Order (EO) and subsequent guidance, requiring federal contractors and employers with more than 100 employees to implement a vaccine mandate; therefore, it is expected that anyone hired into this position will need to be fully vaccinated against COVID‑19 upon commencement of employment in accordance with the EO and any subsequent guidance, unless an accommodation is legally required.
