The Fleet & Sporting Fleet Support Administrator is responsible for providing organized, proactive, and technically knowledgeable administrative support to the daily operations of the workshop and sporting fleet activities. Role spans across spare parts administration, ERP transactions, maintenance documentation, inventory control, and overall fleet readiness for motor sport activities and international events. Working closely with the Head of Mechanics and Technical teams, this role ensure that all bikes, go-karts, cross karts, racing cars, and supporting sporting fleet assets are properly maintained, documented, and prepared for operational and racing requirements, including Karting Championships, QSTK Bike Championships, Public Karting operations, Track Days, and other motor sport events hosted at Lusail International Circuit.
Key Responsibilities- Manage spare parts inventory across the sporting fleet, ensuring accurate tracking, storage, and availability at all times.
- Monitor stock levels and coordinate with Procurement and suppliers to ensure timely replenishment of parts and consumables.
- Maintain clear traceability and documentation for critical and high-value components.
- Maintain complete and accurate maintenance records for all fleet assets, including service history, inspections, and repairs.
- Work closely with mechanics and workshop staff to ensure all maintenance activities are properly recorded and documented.
- Track preventive and corrective maintenance schedules and support reporting on fleet readiness and parts usage.
- Handle ERP transactions related to workshop operations, including purchase requests, stock movements, and material issuance.
- Support day-to-day workshop administration, reporting, and internal coordination.
- Maintain organized records, trackers, and filing systems, both digital and physical.
- Support events and operational readiness by preparing checklists and ensuring all documentation is complete prior to events.
- Coordinate the movement and allocation of bikes, karts, and racing vehicles between workshop and track operations.
- Assist the workshop and technical teams during race events, championships, and track activities.
- Diploma or associate qualification in Automotive, Mechanical Engineering, Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum 5 years' experience in a workshop, fleet, automotive. Motorsport experience is a strong advantage.
- Familiarity with fleet systems and document control processes is preferred.
- Solid understanding of spare parts, workshop operations, and maintenance processes.
- Comfortable working with ERP systems and standard Microsoft Office tools. Familiarity with Dynamic 365 is a strong advantage.
- Ability to work closely with technical teams in a fast-paced operational environment.
- Excellent communication skills in English, both written and spoken. Fluency in Arabic is preferred but not mandatory.
- A valid Qatar driving license is preferred.
- Currently based in Qatar with a valid Residence Permit (QID).
- Able to provide a No Objection Certificate (NOC), where required, for the duration of the assignment.
This is a fixed-term role (11 months in duration), with the possibility of further engagement subject to performance and organisational requirements.
