Management Team Secretary

We are seeking an organised, proactive and detail-focused Management Team Secretary to provide high-quality administrative and workforce support within the Division of Clinical Specialty Services.
The Management Team Secretary is responsible for delivering a high-quality, confidential and responsive secretarial and administrative service to the divisional management team, including the General Manager, Clinical Director and Business Managers. The post plays a key role in supporting the divisional SMT through effective diary management, meeting coordination, minute taking, correspondence, workforce administration and general office support. The role requires excellent organisational skills, attention to detail, discretion and the ability to manage competing priorities while working professionally with staff at all levels across the Trust.
Mainduties of the job
- Providing day‑to‑day secretarial and administrative support to the management team
- Diary management
- Monitoring and prioritising emails, including highlighting urgent matters
- Arranging meetings, including venues, agendas, papers and apologies
- Taking accurate minutes and circulating them promptly
- Maintaining action logs and following up actions
- Preparing correspondence, reports, presentations and other documents
- Handling telephone calls and enquiries appropriately
- Maintaining accurate paper and electronic filing systems
- Supporting divisional projects with meeting coordination and documentation
- Processing workforce changes such as maternity leave, retirements, contract changes and terminations
- Supporting recruitment administration
- Processing medical staffing change forms
- Assisting with data collection
- Preparing and circulating weekly rotas
- Providing cross‑cover for other secretarial staff
- Issuing and maintaining smart cards
- Undertaking any other duties appropriate to the role

Person Specification Knowledge & Experience- Previous secretarial experience
- Good audio typing skills and able to take concise minutes
- Understanding of information governance/confidentiality procedures
- Computer literate with knowledge of basic MS Office Packages
- Experience of working in a busy environment as a team
- The ability to prioritise and work to deadlines
- Knowledge and experience with E‑Recruitment and ESR
- GCSE English Language or equivalent
- RSA Stage II Word Processing or equivalent experience
- NVQ level 3 in business administration
