An exciting opportunity has arisen for a Senior Administration Assistant who will be responsible for the provision of an efficient and comprehensive administrative service to the Children’s Care Group under the direction of the Children's care group Administration Team Lead.

If you don't already have a Level 3 qualification or equivalent experience in a relevant subject, RDaSH are offering this post alongside the opportunity for you to complete a Level 3 apprenticeship qualification relevant to your role.

To develop experience, learn work‑related skills and obtain all the tools needed to thrive, you will be an apprentice within RDaSH. Apprenticeship includes regular training with a college or other training organisation and around 20% of your working hours will be spent training or studying, leading to a nationally recognised qualification.

Main duties of the job
  • Provide a senior confidential, quality administrative service to an identified branch of services within the Children’s Care Group as part of Single Point of Contact Model.
  • Communicate effectively, accurately and professionally, applying discretion and empathy where necessary, with written, telephone and face‑to‑face contact, with patients, visitors, other Trust staff and external agencies.
  • Understand and work towards the KPI’s and targets set by the commissioners.
  • Provide and receive routine information to work colleagues and clients; exchange information with clients requiring tact and diplomacy.
  • Maintain quality in own work and encourage others to do so whilst working as an effective and responsible senior team member.
  • Update annual leave rota and daily cover rota to ensure adequate cover at all times.
  • Ensure the smooth running of the administration staff, ensuring all areas/clinics are covered on a day‑to‑day basis, including liaising with clinical staff when required.
  • Deal with any day‑to‑day problems that arise within the admin team such as staffing issues, technological issues, ensuring effective resolution and continuity of services.
  • Undertake line management of a team of administrators, providing daily support and a range of HR associated duties such as supervision meetings, sickness recording and completion of personal development review meetings.
Person specification Qualifications
  • English and Maths at level 2 or equivalent (GCSE 9-4 or A*- C or functional skills level
    2)
  • NVQ level 2 or equivalent in a related subject
  • NVQ level 3 in related subject or willingness to undertake a relevant Level 3 Apprenticeship
Experience
  • T skills in Microsoft Office Packages
  • Working in a busy office environment
  • Office procedures e.g. filing, photocopying, message taking
  • Supervising colleagues
Knowledge
  • Understand importance of maintaining confidentiality and security of information
Skills
  • Good interpersonal skills
  • Ability to communicate effectively both verbally and in writing
  • Awareness and understanding of the requirement for discretion and confidentiality
  • Ability to relay correct messages verbally and in writing
