We are looking for a friendly and organised Receptionist to join West End Clinic in Rossington. As the first point of contact for patients, you will manage appointments, handle prescriptions, process registrations and perform a range of administrative duties.
Job Schedule20 hours per week – 4 days: Monday & Wednesday mornings 08:00‑13:00 and Thursday & Friday afternoons 13:00‑18:00.
Responsibilities Primary Responsibilities- Use the practice appointment system effectively
- Process telephone queries and book appointments, adhering to KPIs
- Book remote access/care navigation appointments as first line
- Book appointments using the clinical competency framework lists
- Book appointments using resources effectively
- Answer incoming calls, transfer calls or handle caller requests appropriately
- Initiate contact with and respond to requests from patients, team members and external agencies
- Input data into patient healthcare records with notes for colleagues
- Process procedures for DNA management
- Direct requests for information (SAR, insurance/solicitor letters, DVLA forms) to the secretarial team
- Open internal and external post from the blue bag, date‑stamp and forward to the correct team
- Maintain a clean, tidy working area at all times
- Monitor and maintain the reception area and notice boards, keeping communication up to date
- Support clinical staff with general tasks as requested
- Ensure patient RIP processes are followed
- Ensure practice policies are up to date and adhered to
- Complete opening and closing procedures of the practice
- Manage the practice email accounts daily
- Follow up on tasks on the clinical system daily
- Report inappropriate tasks, emails, behaviour to management to enable improvement strategies
- Ensure compliance with NHS contracts, CQC standards and PCN initiatives
- Process repeat prescriptions, book medication reviews if required
- Ensure rotas are managed for adequate staffing
- Register new patients and deduct patients following boundary criteria
- Participate in audit as directed by the Practice Manager
- Participate in improvement initiatives
- Keep mandatory training up to date
- Attend target sessions
- Qualifications – essential and desirable
- GCSE level or equivalent (desirable)
- GCSE Mathematics & English (C or above) – desirable
- AMSPAR Receptionists Qualification – desirable
- NVQ Level 2 in Health and Social Care – desirable
- Experience working with the general public
- Experience of administrative duties
- Experience working in a health care setting
- Excellent written and oral communication skills
- Clear, polite telephone manner
- Competent in Office and Outlook
- Experience with Systm One TPP
- Effective time management (planning & organising)
- Ability to work as part of a team and autonomously
- Good interpersonal skills
- Problem‑solving & analytical skills
