About the Role

As the Controlled Document Coordinator you will be responsible for the administration of the Rail Controlled Document Management (CDM) system covering processes, procedures and other controlled documentation. This includes providing training and coaching to all Rail sites in relation to CDM, standardisation of documents and ways of working, aligned to The Unipart Way and International Organisation for Standardisation (ISO).

As part of your key responsibilities you’ll:

  • Manages Unipart Rail’s Controlled Document Management system to ensure all documentation is stored, reviewed and maintained in line with business requirements.
  • Manages the documentation review and escalation processes.
  • Manages the transition of all documents into CDM and into a standard format.
  • Maintain relationships with document controllers and reviewers across the Rail sites.
  • Support the development of new process documentation.
  • Drive Continuous Improvement within document management and control processes.
  • Drive Continuous Improvement in the use of standardised documentation, including reducing the quantity of documents.
  • Deliver training and education in the use and requirements of the CDM.
  • Manage maintenance and upgrades to the CDM system and reporting.
  • Check that incoming documents to CDM meet the agreed standards.
  • Complete agreed reporting routines.
  • Maintains the performance of documentation control through the use of agreed Key Performance Indicator (KPIs)

About You

  • Self-motivated and organised.
  • IT literate to a good standard with the ability to adopt automation solutions when required.
  • Able to identify opportunities to improve processes, systems and documentation.
  • Comfortable with communicating with cross-functional teams, at all levels of the organisation.
  • Confidence to challenge internal teams on their documents that are submitted for publication to the CDM.
  • A good understanding of Microsoft and Google applications.
  • A working understanding of Quality Management Systems and documentation would be beneficial
  • Proven experience of managing and organising digital documentation.
  • Experience of working with Quality systems.
  • Experience of working in a Warehouse and/or Manufacturing environments.
  • Experience of ERP systems (SAP would be beneficial).
  • Experience of process mapping and the development of Standard Operating Procedures (SOP)
  • Involvement in ISO 9001 certification process would be beneficial
  • Experience working in a Lean environment.
  • A good level of education (GCSE and above) in Mathematics, Information Technology and English
  • Full driving licence is required
  • A recognised qualification in Quality/ QMS would be beneficial.
  • A recognised qualification in Continuous Improvement techniques would be beneficial.
