Job DescriptionWe are seeking a proactive and detail-oriented Administration Specialist to join our team on the Day Shift. The successful candidate will provide comprehensive administrative support to ensure smooth operations within the organization. This role involves managing schedules, coordinating meetings, handling correspondence, and maintaining organizational efficiency.
Key Responsibilities- Manage and organize daily administrative tasks, including filing, data entry, and document preparation.
- Coordinate and schedule meetings, appointments, and events, ensuring all logistics are handled efficiently.
- Support management by preparing agendas, reports, and presentation materials.
- Handle incoming communications via email, phone, and internal channels, directing inquiries as appropriate.
- Maintain office supplies and equipment, ensuring inventory levels are adequate and procurement is timely.
- Assist with travel arrangements and accommodation bookings for staff and visitors.
- Support internal and external communications, including organizing town halls and visitor sessions.
- Ensure confidentiality and security of sensitive information at all times.
- Proven experience in administrative support or office management roles.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency in MS Office applications (Word, Excel, PowerPoint).
- Ability to work independently with minimal supervision.
- Flexibility to adapt to changing priorities and deadlines.
- High level of integrity and professionalism.
- Day shift, scheduled from 08:00 to 13:00, Monday to Friday, with some flexibility based on operational needs.
- This position is initially offered for three months, with the possibility of extension based on performance and organizational requirements.
- The role is primarily on-site in Dordrecht, requiring close coordination with management and team members.
