Admin Team Leader

We are looking for an enthusiastic and adaptable Admin Team Leader to join our professional team in Dover. This role is open only to colleagues currently employed within Kent and Medway NHS Trusts, the Kent and Medway Integrated Care Board (ICB), and Medway Community Healthcare. Nursing vacancies are also open to Student Nurses and Newly Qualified Nurses.
We expect all colleagues to put patients first and share our passion for delivering excellent patient care. NHS experience is not required, but we value enthusiasm, responsiveness, and adaptability.
Main duties of the job- Support the NHS to deliver great patient care by providing administrative support to clinical teams.
- Ensure all administrative tasks are completed to a high standard and on time.
- Keep patient and service user information confidential and accurate.
- Maintain team records, minutes and reports.
- Facilitate communication between staff, patients, and external partners.
- Help manage and reconcile financial records using Agresso.

Job responsibilities- Must hold a full UK driving licence or a full licence issued by an EU country (not exchanged from a non‑EU country) if driving is required.
- Support HR practices, policies and procedures.
- Provide administrative support to the team in a busy environment.
- Handle confidential and sensitive information.
- Record accurate minutes of meetings.
- Assist with data reporting and bespoke reports.
- Level 4 qualification (e.g., Certificate of Higher Education, Higher National Certificate, NVQ level
4) or equivalent demonstrable experience. - NVQ Level 3 Team Leader or Supervisor or other leadership/management qualification.
- Practical application of HR practices, policies and procedures.
- Leading teams in busy and pressurised environments.
- Experience of handling confidential and sensitive information.
- Experience of working with members of the public.
- Basic experience of a financial system, e.g., Agresso.
- Advanced knowledge and understanding of Microsoft Office packages (Outlook, Word, Excel, Powerpoint).
- Design and development of standard and bespoke data reports.
- In‑depth knowledge of the service, site and users.
- Understanding of the health and social care sector, including NHS structures, policies and processes.
- Excellent written and verbal communication skills.
- Excellent interpersonal skills and ability to work effectively with a wide range of people from different backgrounds at all levels of seniority.
- Excellent attention to detail, accuracy and organisational skills.
- Ability to record accurate minutes of meetings and present to a high standard.
- Ability to concentrate and focus on diverse tasks whilst dealing with frequent interruptions.
