Shaheen & Gordon, P.A., Attorneys at Law, a multi-site firm, is seeking an energetic and detail-oriented HR Coordinator – Benefits and Payroll to provide payroll processing and administration of employee benefits program, working for the HR Manager in either the Concord or Dover office. To be successful in this role the candidate must demonstrate success working in a fast-paced, multi-site environment, and the ability to work as a member of a team, in addition to working independently.
Must have reliable means of transportation and a willingness to travel between firm office locations occasionally.
Responsibilities
- You will be working with firm leadership, outside vendors and firm colleagues in the support of day-to-day operations of the firm, functioning as a member of the operations team.
- Process biweekly payroll, ensuring accuracy, compliance, and timely submission.
- Maintain employee payroll records, including new hires, terminations, wage and salary adjustments, and leave management.
- Coordinate with finance and HR to reconcile payroll-related accounts and prepare reports.
- Serve as the primary contact for employee payroll inquiries and resolve discrepancies promptly and professionally, always maintaining confidentiality.
- Administer all benefit plans, including health, dental, disability, life insurance, 401(k) and wellness programs.
- Assist the HR Manager with the open enrollment process annually, as well as with new hire orientations, off-boarding and COBRA administration.
- Serve as a liaison between employees and benefit providers, assisting with claims, coverage questions, and plan changes.
- Prepare and maintain benefit related documentation and compliance filings.
- Maintain accurate HR and benefits records in the HRIS/payroll system.
- Administer and support regular audits
- Ensure adherence to confidentiality standards and firm policies at all times.
Required Skills/Abilities
- Must have excellent interpersonal and organizational skills.
- Must have excellent written and verbal communication skills.
- Must have advanced computer skills using Microsoft Office Suite and HRIS/payroll systems.
- Understanding of federal and state employment laws, benefit regulations (FMLA, COBRA, ERISA and HIPPAA), and payroll compliance.
- Must be able to meet deadlines and have strong attention to detail, with the ability to multi-task in a fast-paced environment.
- Must be proactive, resourceful, and capable of handling sensitive and confidential information.
- Must have a professional, friendly, and client / customer focused attitude and demeanor.
- Must be focused on leading by example and promoting firm culture.
- Ability to travel to firm offices, as needed.
Education/Experience
- A degree in Business, HR, legal studies, or other related discipline is preferred.
- Minimum of 2 years’ experience in payroll and / or benefits administration; experience in a professional services or legal environment preferred.
