Location: Downe Hospital, Downpatrick (SEHSCT)

Duration: 3‑month initial contract (to cover sick leave)

Hours: Monday-Friday

Pay: £12.75 per hour

Department: Appointments Section (busy office / mini call‑centre environment)

About the Role

We are currently recruiting for an Administrative & Clerical Officer (Band
3)
to join the Appointments Team within the South Eastern Health & Social Care Trust at Downe Hospital
. This is a fast‑paced, patient‑facing administrative role, ideal for someone who thrives in a busy environment and has strong organisational and communication skills.

The Appointments Office handles a high volume of patient calls and queries. The successful candidate will support the scheduling of appointments, management of waiting list information, and the delivery of an efficient, patient‑focused service.

Key Responsibilities
  • Handling multiple incoming calls and patient queries in a call‑centre-style office
  • Booking appointments and calculating waiting times/lists in line with Trust protocols
  • Inputting and updating patient data across electronic systems (e.g., Epic, PAS, Patient Centre)
  • Scanning, uploading, and maintaining accurate electronic records
  • Managing own workload, prioritising tasks, and meeting deadlines
  • Liaising with clinical and administrative teams
  • Providing general office support: email management, photocopying, filing, reception cover
  • Producing reports, basic statistics and supporting audits where required
Essential Criteria

Candidates must meet at least ONE of the qualification/experience pathways:

Option A
  • 4 GCSEs Grade A-C including English
  • + 1 year administrative/clerical experience
Option B
  • NVQ Level 2 in Administration (or equivalent)
  • + 1 year administrative/clerical experience
Option C
  • 2 years administrative/clerical experience (no formal qualifications required)
Additional Essential Requirements
  • 1 year word‑processing experience
  • Experience using Microsoft Word, Excel and Outlook
  • Strong communication and organisational skills
  • Ability to work under pressure in a busy office
  • Ability to work both independently and as part of a team
