Administrative Program Coordinator
Join City of Hope as an Administrative Program Coordinator and play a pivotal role in driving the success of a dynamic department. This position performs a variety of administrative duties and analytical functions to support the daily operations. The work assignments are often complex, diversified, and confidential, requiring a highly responsible, tactful, and professional approach. Excellent organizational skills, meticulous attention to detail, flexibility, independent motivation, and the ability to multitask are essential for success.
Basepay range
$33.00/hr - $50.00/hr
Responsibilities- Assists in daily administrative functions, handling sensitive details, setting priorities, and resolving operational issues for an effective department.
- Supports department business activities including budgeting, account management, purchasing, personnel, facilities, travel, and reporting; monitors expenditures and analyzes variances.
- Coordinates departmental projects and events such as faculty symposiums, research forums, and engagement activities.
- Manages the Appointment and Promotions process in collaboration with leadership.
- Prepares, reviews, and submits faculty time and effort reports (e.g., ADP, Faculty 180).
- Serves as primary contact for faculty and external visitors; responds to inquiries on expenses and coordinates recruitment and collaborative visits.
- Schedules and maintains calendars, meetings, and travel arrangements; prepares agendas and related materials.
- Oversees administrative support staff, resolves complex inquiries, and maintains departmental policy/procedure manuals.
- Bachelor’s degree or equivalent experience may substitute for minimum education requirements.
- Three (3) or more years of progressively responsible experience in business administration, clinical research or healthcare environment.
- Bachelor’s degree in sociology, social work, psychology or related field and experience in a patient‑facing setting.
- Familiarity with REDCap and EPIC.
