We are seeking a highly organised and detail‑oriented Document Controller to join our team at our construction site in Dubai, United Arab Emirates. As a key member of our site operations, you will be responsible for managing and maintaining all project‑related documentation, ensuring compliance with company standards and local regulatory requirements.
- Establish and maintain an efficient document control system for all site‑related materials, including drawings, correspondence, submittals, and reports
- Manage document flow between on‑site teams, consultants, contractors, and local regulatory authorities
- Ensure timely distribution and tracking of all incoming and outgoing project documents
- Maintain up‑to‑date records of all document versions and approvals in both electronic and hard copy formats
- Review and verify document formats and metadata before submission to ensure compliance with client and authority requirements
- Generate document control reports for project reviews and audits
- Support site engineers and managers by retrieving, organising, and submitting necessary documentation
- Ensure confidentiality and security of sensitive project data
- Coordinate with IT and project teams to maintain document management systems
- Conduct regular audits to ensure documentation processes are followed effectively
- Collaborate with cross‑functional teams to streamline document control processes and improve efficiency
- Adhere to site‑specific safety protocols and procedures
- Bachelor's degree in Administration or a related field
- Minimum of 5 years of experience as a Document Controller on construction projects in the UAE, with at least 3 years in a site‑based role
- Strong knowledge of document control systems and best practices, particularly in construction site environments
- Proficiency in MS Office Suite (Word, Excel, Outlook), Adobe Acrobat, and document management platforms such as Aconex (Aconex experience is a must)
- Familiarity with documentation protocols and submission procedures specific to construction sites
- Excellent organisational and time management skills, with the ability to prioritise tasks in a fast‑paced environment
- Strong attention to detail with the ability to handle large volumes of documentation accurately
- Effective communication skills, both written and verbal, to interact with various stakeholders on‑site
- Ability to work under pressure and meet tight deadlines in a dynamic construction site setting
- In-depth knowledge of construction industry documentation standards and site‑specific requirements
- Fluency in English (written and spoken)
- Knowledge of local regulatory requirements in Dubai and the UAE
- Experience with site‑specific document control processes and workflows
- Familiarity with construction site safety protocols and willingness to adhere to all safety guidelines
- Ability to work in a fast‑paced, on‑site environment, potentially in challenging weather conditions
- Collaborative mindset with the ability to work effectively in a team environment
The role will involve supporting multiple projects with site visits across the UAE.
