What We’re Looking For
- Proven track record of 3‑5 years in a luxury hotel or agency environment in a similar administrative, finance coordination or executive assistant role within a marketing or creative department.
- Strong understanding of financial processes such as purchase requisitions, purchase orders and goods receipt notes, with the ability to drive invoice workflows effectively.
- Computer literacy, mastery of Word, Excel, PowerPoint and Outlook, and exceptional knowledge of procurement systems, specifically Ariba.
- Remarkable time‑management and multi‑tasking skills, a proactive nature, coupled with a meticulous eye for detail, ensuring every aspect of the operation is curated to perfection.
- Mastery in handling confidential information with the utmost discretion, ensuring seamless adherence to privacy protocols and ‘FIVE-Styled’ security standards.
- Excellent communication and interpersonal skills, leveraging strong verbal and written skills to engage effectively with FIVE Tribe members and stakeholders.
- A hands‑on attitude, fuelled by a “can‑do” spirit.
Key Responsibilities
- Provide day‑to‑day administrative and executive support to the Director of Marketing and senior leaders, ensuring seamless coordination of diaries, travel arrangements, meetings and correspondence.
- Prepare internal documentation, presentations and meeting minutes with precision, maintaining accuracy, confidentiality and ‘FIVE-Styled’ attention to detail.
- Act as the central point of contact for all internal and external communication within the marketing team, ensuring information is shared efficiently.
- Support the coordination of marketing shoots, events and campaigns by managing logistical and administrative requirements, ensuring flawless execution across all touchpoints.
- Manage the marketing drive and departmental documentation, maintaining well‑organised archives of assets, contracts, reports and campaign materials.
- Maintain departmental calendars and project trackers, ensuring key deadlines, campaign launches and reporting cycles are met with precision.
- Create and manage purchase requisitions, purchase orders and goods receipt notes using Ariba or other approved procurement systems, guaranteeing process accuracy and compliance.
- Monitor budgets and track expenditure across multiple campaigns and cost centres, ensuring alignment with departmental financial targets.
- Coordinate closely with the Finance team to facilitate timely invoice submission, approval and payment, safeguarding smooth financial operations.
- Maintain an organised log of all vendor payments and supporting documentation for effortless reconciliation, tracking and audit readiness.
- Prepare monthly expenditure reports and budget summaries in Excel, including detailed forecasts and variance analyses that support data‑driven decision‑making.
