Administrative Support
Handle day-to-day administrative tasks such as scheduling meetings, managing calendars, making travel arrangements, and preparing expense reports.
Communication ManagementServe as the primary point of contact between the executive and internal/external clients. This includes handling phone calls, emails, and correspondence in both French and English.
Document Preparation and ManagementDraft, edit, and format documents including reports, presentations, and correspondence. Ensure that all documents are accurate and professionally presented.
Project CoordinationAssist with project management tasks, including planning, tracking progress, and coordinating with team members to ensure timely completion.
Technology and IT SupportUtilize advanced knowledge of IT and new technologies to improve office efficiency. Troubleshoot minor technology issues and provide assistance to the executive in using various software and online platforms.
Event PlanningOrganize and coordinate events, meetings, and conferences, including logistics, guest lists, venue selection, and catering arrangements.
Personal TasksManage a range of personal tasks for the executive as required. This may include running errands, booking personal appointments, or managing household staff.
Qualifications Language SkillsFluent English. Additional languages are a plus.
ExperienceProven experience as a Personal Assistant or similar role in Dubai. Familiarity with the local business environment is essential.
EducationA bachelor's degree is preferred. Relevant certifications in administration, IT, or project management will be considered an advantage.
IT ProficiencyStrong computer skills and proficiency in Microsoft Office Suite, Google Workspace, and other relevant software. Ability to adapt to new technologies quickly.
Interpersonal SkillsExcellent communication skills, both written and verbal. Ability to interact professionally with a diverse group of clients, staff, and external contacts.
Organizational SkillsExceptional organizational and time-management skills. Ability to prioritize tasks and manage multiple projects simultaneously.
DiscretionHigh level of discretion and confidentiality. Ability to handle sensitive information with integrity.
Working ConditionsFull-time position based in Dubai.
Some international travels may be required.
Flexible working hours, including availability outside of standard office hours as needed.
